Key Responsibilities
- Conducting client intake completing conflict searches and opening new client files.
- Booking client meetings etc. and maintaining lawyer schedule and agenda.
- Drafting routine correspondence for lawyer review.
- Processing updating and tracking PDF files; including page organization & replacement version control integration with DocuSign and sharing/storing across multiple locations in collaboration with internal and external clients.
- Reviewing and prioritizing incoming and outgoing mail/couriers coordinating faxes and scanning/copying documents.
- Answering client inquiries taking care of dropin clients/cold calls and communicating with key parties in a timely manner.
- Maintaining upto date and accurate electronic and paper client files with the use of a document management system.
- Processing large volumes of documents with ability to use technology to store and organize files diligently.
- Transcribing dictations using appropriate format producing documents correspondence and all followup work as directed.
- Finalizing transactions procedure in Closing Folders.
- Assist other Business Law team members as needed.
What You Bring
- Experience: Graduate of a Paralegal diploma program or equivalent combination of training and experience.
- Skills: Exceptional attention to detail organization and time management as well as excellent verbal and written communication skills with the ability to handle multiple priorities.
- Mindset: Critical thinker problem solver selfmotivated and is a team player with a positive attitude excited to contribute to a collaborative culture.
- Tech Proficiency: Adept at using technology such as Outlook and the full Microsoft Suite with a talent for learning new software programs quickly. Knowledge of Athennian Closing Folders and ProLaw an asset.
