Hybrid Workplace Arrangement:

Although this position will be designated under the departments hybrid workplace program it will still be required to report to the department office on a scheduled basis and at the discretion of the supervisor based on business needs.

Description of Job


These positions provide administrative office support and services for various divisions licensing boards and programs in the Department.

Duties include but are not limited to: the evaluation of applications and supporting documents; setting up files and entering data into systems including licensing systems and checking for accuracy and completeness; analyzing information and documents to determine compliance with rules regulations and laws; contacting appropriate entities or individuals for additional information; monitoring to ensure that timeframes are met; analyzing and fulfilling requests for public documents; maintaining and preparing files for permanent records retention; organizing and preparing information for consideration by Boards and stakeholders; responding to a very high volume of inquiries from applications and other entities by telephone email and written communication; perform complaint intake functions; prepare board meeting agendas and followup; and complete other administrative duties including: reception duties; copying and faxing; position specific automated systems; mail distribution such as mass mailings; and other duties as assigned. Some positions may require flexibility and openness to frequently changing job duties and assignments.

Minimum Qualifications Substitutions Conditions of Employment & Appeal Rights

There are two ways to qualify for this position: 1 Experience OR 2 A Combination of Education and Experience

Option 1: Experience:
  • Three 3 years of fulltime professional*general clerical experience in an office environment which must include all of the following:
    • Experience processing applications and/or analyzing documents for completeness correctness and/or compliance;
    • Experience managing calls and/or responding to difficult customers with tact and diplomacy;
    • Experience working according to detailed policies procedures and deadlines;
    • Experience utilizing general PC software applications including Microsoft Office and Google (e.g. Word Excel Google Docs Google Drive Google Forms Google Sheets Google Calendar etc..
Option 2: A Combination of Education AND Experience
  • Associates Degree and Experience: Graduation from an accredited college or university with an associates degree in business administration general management communication or in a field of study related to the work assignment; AND
  • One 1 year of fulltime professional* general clerical experience in an office environment which must include all of the following:
    • Experience processing applications and/or analyzing documents for completeness correctness and/or compliance;
    • Experience managing calls and/or responding to difficult customers with tact and diplomacy;
    • Experience working according to detailed policies procedures and deadlines;
    • Experience utilizing general PC software applications including Microsoft Office and Google (e.g. Word Excel Google Docs Google Drive Google Forms Google Sheets Google Calendar etc..
OR
  • College university or noncorrespondence business school coursework from an accredited institution in business administration general management communication or a field of study related to the work assignment may substitute for the experience on a yearforyear basis (up to three 3 years).A copy of your transcript verifying the required credits must be received by the application deadline in order to be considered.
Notes: Preferred experience will be within the last 5 years.

SUBSTITUTIONS:
  • Partial credit toward the degree requirement will be given for completed college/university coursework that did not result in a degree.
*Professional work involves exercising discretion analytical skill judgment and personal accountability and responsibility for creating developing integrating applying and sharing an organized body of knowledge that characteristically is: uniquely acquired through an intense education or training regimen at a recognized college or university; equivalent to the curriculum requirements for a bachelors or higher degree with major study in or pertinent to the specialized field; and continuously studied to explore extend and use additional discoveries interpretations and application and to improve data materials equipment applications and methods.
Preferred Qualifications:
  • Experience updating and utilizing databases;
  • At least one 1 year of experience working in the public sector and/or in a State government agency;
  • Customer service experience with a State government agency;
  • Qualifying clerical experience within the last 5 years;
  • Experience with CORE;
  • Fluent in Spanish (speak read write);
  • Experience providing support to executivelevel management.

    • A reference check may include but is not limited to: contacting previous and current supervisors to verify employment and discuss performance a review of the personnel file a review of the performance record a review of jobrelated public information etc.
    • The type of background check depends on the job duties of the position and can include a review of any criminal record credit report and/or driving record.
  • Ability to travel independently including work in the office as required by business need and scheduled by the supervisor.
  • Effective September 20 2021 employees will be required to attest to and verify whether or not they are fully vaccinated for COVID19. Employees who have not been fully vaccinated may be required to submit to serial testing in the future. Upon hire new employees will have three 3 business days to provide attestation to their status with proof of vaccination. Vaccinated employees must provide proof of vaccination.
    • Note: Fully Vaccinated means two 2 weeks after a second dose in a twodose series of the COVID19 vaccine such as the Pfizer or Moderna vaccine or two 2 weeks after the singledose vaccine such as Johnson & Johnsons Janssen vaccine as defined by the most recent State of Colorados Public Health Order and current guidance issued by the Colorado Department of Public Health & Environment.
