Duties and Responsibilities *Denotes Essential Functions):


  • Perform a wide range of activities in support of the UHWO Human Resources (HR) Office ensuring compliance with applicable University policies collective bargaining agreements and state and federal regulations.
  • *Support the daytoday operations of the HR Office including but not limited to answering the main incoming phone calls to the main HR line; managing the HR and EEO departmental accounts; responding to internal and external inquiries.
  • *Process and maintain employee forms required for onboarding exit/termination change of status medical beneficiary forms etc. Prepare and maintain Form I9 to ensure all employee documents are uptodate and in compliance with Federal laws. Followup with an employee when documents require updating or reverification.
  • *Advise current and new employees of employment forms benefits and terms and conditions of employment in accordance with University State and Federal policies and procedures and collective bargaining agreements. Assist employees in completing employment forms.
  • *Assist the HR Director in monitoring and ensuring campuswide compliance with regulatory training requirements to include State Ethics Conflict of Interest and Title IX.
  • *Prepare reports and responses to requests for information on matters such as pay classification studies immigration EEO ADA Title IX and benefits etc. in a timely manner.
  • *Extract data to generate HR reports for monitoring tracking and updating employee information to include but is not limited to employee probationary periods temporary employee NottoExceed (NTE) dates work location address changes etc. to ensure employee personal and position data remains accurate and up to date.
  • *Monitor all employees on extramural accounts to ensure NTE dates are current and work collaboratively with Academic Affairs Office Student Affairs Office and Chancellors Office to prepare extensions redistribution of funds appointment renewals and/or terminations.
  • *Facilitate the preparation of required documents associated with the creation recruitment and filling of all extramural positions in accordance with established policies procedures rules and regulations in a timely manner.
  • *Support the management (archive transfer dispose and/or maintain) of all confidential personnel files and records in accordance with University State and Federal policies laws and regulations and union contracts.
  • *Monitor the UHWOHR website and work collaboratively with Information Technology (IT) to keep website information and announcements current.
  • Assist with faculty and staff development training and coordination of workshops and training sessions.
  • Prepare and audit benefits documents and transmit them to the appropriate office. Advise employees on EUTF PTS Deferred Compensation Island Flex and other benefits and assist as needed to ensure proper completion of forms.
  • Coordinate the dissemination of information related to employee benefits such as health (EUTF) retirement (ERS) leaves Island Flex Deferred Compensation Tax Deferred Annuities etc.
  • Perform other duties as assigned


Minimum Qualifications:


  1. Possession of a baccalaureate degree in Human Resources Management Business Administration Public Administration or related field and three 3 years of progressively responsible professional experience with responsibilities for human resources functions office management or business administration; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Considerable working knowledge of principles practices and techniques in the area of human resources or business administration as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws rules regulations and theories and systems associated with human resources or business administration.
  4. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective innovative and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing verbally and by preparation of reports and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team leaders and members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. For supervisory work demonstrated ability to lead subordinates manage work priorities and projects and manage employee relations.


Desirable Qualifications:


  1. Extensive knowledge of policies practices rules and regulations governing public sector human resources or business administration.
  2. Experience using computerized human resources information systems.
  3. Ability to work with multiple priorities deadlines and frequent interruptions.
  4. Experience working in a higher education setting.
  5. Demonstrated ability to address and resolve human resources issues of a sensitive and complex nature.
  6. Current Notary Public and/or willing to become a Notary Public.
