The Administrative Assistant plays a key role in supporting the operational efficiency and success of our organization. This position is ideal for an individual who thrives in a dynamic fastpaced environment and enjoys managing a variety of tasks simultaneously. The Administrative Assistant will handle daytoday administrative duties support departmental needs and ensure smooth communication across teams. This position requires a detailoriented individual with strong organizational skills excellent communication abilities and a proactive mindset to contribute to the overall success of the business.
- Providing general administrative support to appropriate personelle including managing schedules handling correspondence and preparing reports and presentations.
- Organizing and maintaining filing systems both physical and digital ensuring documents are easily accessible and up to date.
- Coordinating meetings appointments and events ensuring all logistical details are handled efficiently.
- Assisting with the preparation of training materials reports and other documentation as required.
- Managing office supplies and ordering materials when necessary.
- Assisting in data entry and managing databases ensuring accuracy and timeliness.
- Supporting the coordination of internal and external meetings including booking venues preparing agendas and distributing meeting minutes.
- Ensuring all administrative procedures and company policies are followed.
- Assisting in travel arrangements including booking flights accommodation and transportation.
- Performing other administrative duties and tasks as assigned by management.
Qualifications :
- Previous administrative experience preferably in an office.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook) and general office equipment.
- Ability to work independently and as part of a team.
- Exceptional attention to detail with a proactive approach to problemsolving.
- Ability to handle confidential information with discretion.
- Strong interpersonal skills with the ability to interact effectively with staff students and external stakeholders.
- Ability to adapt to changing priorities in a fastpaced environment.
- A positive attitude with a focus on delivering excellent customer service.
- Must be legally eligible to work in the United States without restrictions.
- Contingent to employment all candidates must pass a drug screening and background check. TSA background check and badging is also required for your role.
