Job Description

The Administrative Assistant plays a key role in supporting the operational efficiency and success of our organization. This position is ideal for an individual who thrives in a dynamic fastpaced environment and enjoys managing a variety of tasks simultaneously. The Administrative Assistant will handle daytoday administrative duties support departmental needs and ensure smooth communication across teams. This position requires a detailoriented individual with strong organizational skills excellent communication abilities and a proactive mindset to contribute to the overall success of the business.

  1. Providing general administrative support to appropriate personelle including managing schedules handling correspondence and preparing reports and presentations.
  2. Organizing and maintaining filing systems both physical and digital ensuring documents are easily accessible and up to date.
  3. Coordinating meetings appointments and events ensuring all logistical details are handled efficiently.
  4. Assisting with the preparation of training materials reports and other documentation as required.
  5. Managing office supplies and ordering materials when necessary.
  6. Assisting in data entry and managing databases ensuring accuracy and timeliness.
  7. Supporting the coordination of internal and external meetings including booking venues preparing agendas and distributing meeting minutes.
  8. Ensuring all administrative procedures and company policies are followed.
  9. Assisting in travel arrangements including booking flights accommodation and transportation.
  10. Performing other administrative duties and tasks as assigned by management.

Qualifications :

  1. Previous administrative experience preferably in an office.
  2. Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  3. Excellent written and verbal communication skills.
  4. Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook) and general office equipment.
  5. Ability to work independently and as part of a team.
  6. Exceptional attention to detail with a proactive approach to problemsolving.
  7. Ability to handle confidential information with discretion.
  8. Strong interpersonal skills with the ability to interact effectively with staff students and external stakeholders.
  9. Ability to adapt to changing priorities in a fastpaced environment.
  10. A positive attitude with a focus on delivering excellent customer service.
  11. Must be legally eligible to work in the United States without restrictions.
  12. Contingent to employment all candidates must pass a drug screening and background check. TSA background check and badging is also required for your role.
