Office Coordinator

Reports To: Chief administrative officer
Summary
This position is responsible for supporting the whole office with daytoday administrative support while managing professional and efficient coordination of office and company events executive support and ensuring colleagues have the equipment supplies and services they need to be successful. This role also handles a variety of other clerical duties as assigned.
Essential Duties & Responsibilities
- Provide administrative and operational support to top executives
- Coordinate calendar meetings for executives vendors and carries
- Develop and maintain good relationships with service teams
- Assist with clerical tasks to include copying faxing and mailing as needed
- Prepares and sends correspondence on behalf of team members
- Attends meetings relating to position and coordinates units team meetings
- Purchase and stock office supplies and assist with specialty orders as needed
- Review and forward vendor invoices for payment
- Oversee the installation of office furniture and/or equipment
- Resolve copier issues and printer badges as needed
- Act as point of contact for internal departments building maintenance and contractors
- Manage facility needs such as scheduling for repairs
- Oversee storage areas and leased equipment maintenance
- Once projects have been approved assist with space planning renovation and special projects to include coordination of vendors and end users from conception through project completion
- As directed research vendors and venues and keep an updated contact list for use by office associates
- Coordinate onsite and offsite support for company events including serving as strategist vendor contact and assisting with logistical set up and breakdown as needed
- Manage sponsorship/donation compliance approvals and payments
- Ensures the office is neat and orderly throughout the day and remains a safe and productive working environment at all times.
- All other duties and projects as assigned
Education and/or Experience
- Successful candidate will be a serviceoriented individual with high personal standards and a handson work style.
- This position requires an individual who is comfortable working at a varying pace managing multiple tasks adjusting priorities often and managing frequent interruptions.
- Proficiency with personal computers and Microsoft Office applications (i.e. Word Excel and PowerPoint).
- Alert positive and approachable demeanor. Must be dependable possess a strong attention to detail and enjoy working in a team environment.
