Role Description:

Reporting to the Director Events Sponsorships & Partnerships the Senior Manager will lead team members and project manage largescale public facing and internal events for all CoStar Group Brands. These may include domestic and international events and conferences sponsorships of industry shows client special events hosted concerts trade show participation large custom exhibit booths executive and exclusive special events. The goal will be to maximize internal or external customer engagement brand recognition sales lead generation and a return on investment.

This position is an exciting opportunity for an experienced senior level event project and exhibits logistics manager who can work efficiently in a matrixed fastpaced environment on several projects at one time. The ideal candidate is a collaborative proactive creative and detailed leader who can manage complex projects while partnering with Events team members and staff across the organization to ensure that every project is executed to the highest standards on budget and professionally. This candidate should be comfortable operating in an environment of constant change resultsoriented highly motivated serviceminded and enthusiastic demonstrating strong time management leadership and communication position is in office Monday through Friday.

Responsibilities:

  • Supervise 13 direct report(s) on the Events Sponsorships & Partnerships team.
  • Train team members on current industry best practices contract inclusions negotiations budgeting forecasting requests for proposals (RFPs) timelines staffing plans and other key event logistics functions.
  • Advise on standards of quality efficiency consistency and exemplary client services for corporate executives sales and marketing leaders.
  • Collaborate with senior leadership and brand leaders on event goals and metrics advising as a strategic partner and subject matter expert to achieve their objectives.
  • Create and manage multimillion dollar event budgets reporting to Finance on forecasts and producing postevent actuals and reports.
  • Negotiate large contracts with vendors venues and partners focusing on reduced costs beneficial inclusions detailed commitments and protective legal clauses.
  • Partner with external hotel sourcing partner Director Procurement and Finance on multiyear contract strategy RFP inclusions housing blocks function spaces minimum spends destinations and timing planning for major event future requirements and projected growth.
  • Lead direct reports and core planning teams onsite or remotely in various destinations with most events sponsorships and partnerships based in the U.S. U.K. and Canada.
  • Manage CoStar Group participation and/or sponsorships for industry events collaborating with internal departments in planning booth assets branded materials audio visual and technical requirements staff communications and briefings dcor and furnishings operational specifications vendor relationships and onsite logistics of multi day events.
  • Oversee all aspects of events to completion including venue sourcing with partners planning meetings ongoing reporting for stakeholders gifting booking entertainment housing blocks data and ROI reporting trainings catering transportation and staffing.
  • Manage communications to attendees and informational websites including registration sites in Cvent Forms invitations agendas surveys event mailboxes and Cvent event applications.
  • Drive event deadlines to guarantee all aspects of events are ontime communicating timelines to other stakeholders to ensure they are set up for success.
  • Plan or collaborate on event space usage layouts Run of Shows and technical requirements.
  • Partner with Procurement on invoice processing contract financial coding vendor set up purchase orders and other Finance requirements.
  • Create PowerPoint presentations for core planning teams as updates for brand or organization leadership proposals for approvals costs deliverables or planning tracking of major projects.
  • Help to identify appropriate new business relationships trends technology or best practices creating standard operating materials for team reference.

Basic Qualifications:

  • Bachelors degree required from an accredited notforprofit college or university.
  • A track record of commitment to prior employers.
  • 10 years managing largescale events conferences executive programs corporate special events exposition logistics large exhibit booth custom builds and sponsoring external initiatives/ events.
  • 3 years of people management experience directly leading and managing events.
  • Demonstrated leadership and management skills including the ability to prioritize and control workload of a team coaching and mentoring on professional development.
  • Experience creating and managing large event budgets and forecasts.
  • Effective negotiation skills including venue hotel and vendor major contracts.
  • Proficiency with Microsoft Office Suite notably Microsoft Word Excel and PowerPoint.
  • Ability to travel for events and preevent preparation 1530.
  • Ability and willingness to work extended hours during planning periods and varying work schedules for event and travel as needed.

Preferred Qualifications:

  • International events and contracts experience.
  • CMP certification and experience with Cvent a plus.
  • Strong communication skills both written and oral.
  • Meticulous attention to detail and superior organizational skills.
  • Ability to expertly articulate ideas seek decisions and present work for senior level stakeholders.
  • Ability to prioritize multiple tasks with demonstrated experience in consistently delivering high quality results.
  • Team player who collaborates and can easily pivot to assist other projects as needed.
  • Proven ability to adapt to fastpaced and changing environments program elements and directions pivoting and prioritizing effectively in responses.
  • Ability to work quickly and effectively under pressure delivering on last minute requests and remaining detailed oriented.
  • Flexibility and ability to push through indecision and ambiguity to deliver results.
  • Ability to exert up to 20 pounds of force to move objects/boxes.
