Job Description

Job Title: AR & Collections Accounting Coordinator
Location: Hybrid to Chicago Warehouse 317 N Francisco Unit 2 Chicago ILdays in office per week starting increase to 34 per week upon completion of new office construction)

Overview:
Pioneer Aero Supply a leading supplier in the aerospace industry is seeking a proactive and detailoriented Accounts Administrator with a strong background in Accounts Receivable (AR) Collections and Accounts Payable (AP) to join our dynamic finance team.

In this role youll take the lead on AR and collections activities ensuring timely payments maintaining accurate credit records and helping to optimize cash flow across our global customer base. Youll also support broader finance operations including vendor management reconciliations and process automation.

Note: Candidates selected to move forward in the process will be asked to complete a short skills assessment related to AR and collections.


Key Responsibilities

Credit Control & Collections

  • Monitor customer accounts and follow up on overdue payments via phone email and system alerts.
  • Issue monthly statements late fees and maintain uptodate credit records.
  • Assess creditworthiness and escalate highrisk accounts as needed.
  • Drive improvements in cash collection through effective communication and followup.
  • Ensure Salesforce (Avsight) is correctly configured for invoicing automation.

Accounts Administration

  • Accurately process vendor invoices purchase orders and related documents.
  • Manage AP and AR transactions using QuickBooks and Avsight.
  • Resolve banking discrepancies and process contra reviews for dualrole vendors/customers.
  • Support monthend and yearend close with account reconciliations.

Reporting & Analysis

  • Provide data and insights to support financial reporting cash forecasting and budgeting.
  • Identify and help resolve financial discrepancies through collaboration with internal teams.

Automation & Efficiency

  • Identify and implement process improvements using automation tools.
  • Support transitions to more efficient workflows in line with department goals.

General Finance Support

  • Manage documentation and records ensuring accuracy and compliance.
  • Communicate with customers suppliers and internal stakeholders to resolve financerelated inquiries.

Qualifications

  • Degree or diploma in Accounting Finance or related field.
  • Proven experience in AR Collections and credit control preferably in aerospace manufacturing or similar sectors.
  • Working knowledge of Salesforce (Avsight preferred) and QuickBooks.
  • Strong track record in debt recovery and cash collection strategies.
  • Familiarity with automation tools and efficiency initiatives.
  • Excellent Excel/Google Sheets skills; strong attention to detail.
  • Strong written and verbal communication skills.
