Job Summary:
We are seeking a highly organized proactive and versatile General Virtual Assistant (VA) to provide comprehensive administrative sales marketing and customer support. This remote role is open to candidates in all regions. The ideal candidate will be a selfstarter with excellent communication and multitasking skills capable of managing a wide range of responsibilities efficiently and effectively. They will be adept at internal sales support basic marketing tasks managing and developing leads coordinating service dispatches and providing exceptional customer service. Fluent and very clear English both written and verbal is a top requirement for this position. A strong understanding and prior experience with both ZOHO and Field Nation platforms are a significant plus.
Responsibilities:
Assist the sales team with administrative tasks such as preparing quotes proposals and presentations.
Maintain and update CRM (Customer Relationship Management) system with sales activities and customer information.
Schedule internal sales meetings and follow up on action items.
Generate basic sales reports and provide insights to the sales team.
Support internal communication regarding sales targets and achievements.
Assist in the implementation of basic marketing campaigns (e.g. social media posting email marketing).
Manage and update website content (basic updates blog posting assistance).
Conduct basic market research and competitor analysis.
Assist in the creation of marketing materials (e.g. social media graphics email templates).
Track and report on basic marketing metrics.
Organize and maintain lead databases and lists.
Qualify and categorize incoming leads based on predefined criteria.
Distribute qualified leads to the appropriate sales team members.
Track lead status and followup activities in the CRM.
Generate reports on lead generation and conversion rates.
Conduct initial outreach to potential leads via email or phone (cold outreach may be required).
Nurture leads through personalized communication and followup.
Schedule introductory calls or meetings for the sales team with qualified leads.
Gather and document key information about potential clients and their needs.
Maintain a positive and professional image while representing the company.
Receive and process service requests from customers.
Schedule and coordinate service appointments with technicians or service providers.
Maintain and update the service schedule ensuring efficient routing and time management.
Communicate service details and updates to customers and technicians.
Track the status of service requests and follow up to ensure completion and customer satisfaction. Experience utilizing Field Nation for dispatch management is highly advantageous.
Serve as a primary point of contact for customer inquiries via phone email and other communication channels.
Provide prompt courteous and accurate responses to customer questions and concerns.
Troubleshoot basic customer issues and escalate complex problems to the appropriate personnel.
Process customer orders returns and exchanges.
Maintain customer records and ensure data accuracy.
Gather customer feedback and identify areas for improvement in service delivery.
Manage email correspondence and maintain an organized inbox.
Schedule and manage appointments and meetings.
Prepare and edit documents presentations and spreadsheets.
Maintain organized digital and physical filing systems.
Assist with basic bookkeeping and invoicing tasks.
Conduct online research as needed.
Perform other administrative and operational tasks as assigned. Experience with ZOHO suite of applications (e.g. ZOHO CRM ZOHO Desk ZOHO Campaigns) will be highly valued.
Qualifications:
Proven experience as a Virtual Assistant or in a similar administrative sales support marketing or customer service role.
Fluent and very clear English both written and verbal (a top requirement).
Strong organizational and timemanagement skills with the ability to prioritize tasks and meet deadlines.
Proficiency in using CRM software (e.g. Salesforce HubSpot) email marketing platforms (e.g. Mailchimp Constant Contact) and basic office software (e.g. Microsoft Office Suite Google Workspace).
Familiarity with basic marketing principles and social media platforms.
Ability to work independently and proactively with minimal supervision.
Strong problemsolving and decisionmaking skills.
Exceptional attention to detail and accuracy.
A positive and professional attitude with a strong customercentric approach.
Reliable internet connection and a dedicated workspace.
Flexibility in working hours.
Preferred Qualifications:
Strong understanding and handson experience with ZOHO suite of applications (e.g. ZOHO CRM ZOHO Desk ZOHO Campaigns).
Proven experience utilizing Field Nation for service dispatch and contractor management.
Previous experience in IT Support and or dispatch positions preferred.
Basic graphic design skills.
Familiarity with project management tools.

Compensation:
Hourly based on experience.
Hours:
Your working hours will be based on Eastern Daylight Time (EDT) and will primarily be 9:00 AM to 6:00 PM Monday through Friday. However due to project and customer demands these hours can fluctuate. Your working hours should be flexible to accommodate these variations.
