    CLERK OPERATIONS CLERKTRANSPORTATION
    GENERAL SUMMARY
    The Operations Clerk Transportation supports the operational needs of the department by managing data assisting with timekeeping and scheduling and ensuring the accuracy of records related to transportation operations. This role also involves managing state count reporting reconciling invoices supporting audits and providing general administrative support to the department with the potential to adapt responsibilities as automation is implemented.
    ESSENTIAL FUNCTIONS
    1. Oversee payroll processing and state reporting for department personnel by managing payroll processing time tracking and state count reporting to ensure data accuracy compliance with state requirements and timely submission of reports to support audits and departmental needs.
    2. Support transportation logistics by coordinating resources and managing documentation to optimize departmental efficiency and maintain compliance with regulatory requirements including the management of operational data.
    3. Assist in reconciling invoices and tracking departmental costs to ensure the accuracy of financial records and maintain budgetary compliance supporting the departments financial stability.
    4. Support audits by preparing and organizing necessary documentation to ensure compliance with internal and external audit requirements and facilitate smooth audit processes.
    5. Collaborate with transportation staff to streamline processes and enhance operational efficiency to improve workflows reduce redundancies and implement operational improvements.
    6. Provide customer service support to department personnel and other stakeholders by addressing inquiries resolving issues and ensuring clear communication within the department to maintain smooth operations.
    7. Adapt responsibilities as automation or other technological improvements are implemented to increase efficiency and reduce manual workload as new technologies and automation are introduced within the department.
    8. Perform other duties as assigned by the Senior Director or other administrators to support the departments overall mission and respond to evolving needs.
    OTHER FUNCTIONS
    1. May serve on various district committees and/or departmental work teams. Models appropriate and cooperative behavior including protecting confidential information consistent with district guidelines.
    2. Performs related duties consistent with the scope and intent of the position.
    REPORTING RELATIONSHIPS
    Reports to Senior Director of Transportation
    MINIMUM QUALIFICATIONS
    • Education: A high school diploma or GED is required.
    • Work Experience: Preferred experience in Transportation Logistics Operations Payroll Accounting or related fields.
    • Training/Certification: Preference given to candidates with training/certification/experience in data analysis tools such as Excel Google Sheets Smartsheet etc.
    • Skills: Proficiency in Google Workspace and Apple products preferred
    REQUIRED KNOWLEDGE SKILLS AND ABILITIES
    • Knowledge of logistics operations or transportationrelated processes.
    • Ability to compile organize and maintain accurate data.
    • Strong verbal and written communication skills.
    • Growth mindset with a willingness to learn adapt and embrace new challenges.
    • A positive kind and compassionate approach to interactions with colleagues and department personnel.
    • Ability to meet schedules and deadlines while managing interruptions.
    • Proficiency in operating office equipment including computers and experience with data management tools.
    PHYSICAL AND MENTAL DEMANDS
    • Ability to read small print and view a computer screen for prolonged periods.
    • Capacity to tolerate noisy environments and manage frequent interruptions.
    • Ability to perform tasks involving repetitive motion such as typing and data entry.
    • Physical strength to lift push or carry objects weighing up to 5 pounds or more.
    • Mental capacity to understand moderately complex information follow verbal and written instructions and handle stress effectively.
    • Must be available to work onsite during regular business hours and as needed.
    LICENSES / SPECIAL REQUIREMENTS
    Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation abuse injury or neglect of a minor. Must complete training in and adhere to district infection control plan.
