The University of Miami/UHealth Department of Otolaryngology is currently seeking a full time Clinical Business Operations Specialist to work in Miami FL. The Clinical Business Operations Specialist for the Childrens Hearing Program serves as a lead to Clinical Business Operations Representatives in the Childrens Hearing Program and facilitates the prompt resolution of highly complex problems related to pre and post care that arise in daily clinical operations. The incumbent functions as an area lead and performs administrative and receptionist functions to include answering incoming calls efficient management of patients and the acquisition and facilitation of necessary patient care and records. The Clinical Business Operations Specialist assists patients in a courteous efficient and professional manner and ensures adherence to divisional and departmental service standards.
CORE JOB FUNCTIONS
Assists the department in managing expectations surrounding pre and post patient care.
Provides guidance and support to Clinical Business Operations Representatives and assists with training and continuous improvement.
Obtains or reviews all patient demographic information insurance information and referral numbers.
Reviews clinical records for completeness including authorization signatures missing data and other patient information.
Answers multiple telephones for the department: triage incoming calls responds to questions directs calls and documents messages in the appropriate software.
Greets visitors and callers handles their inquiries and directs them to the appropriate employee according to their needs.
Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
Provides coverage for responsibilities of coworkers when assigned or as need arises.
Develops and promotes the use of effective methods of communicating with physicians managers peers trainees and staff on a regular basis.
Maintains confidentiality of all information.
Adheres to University and unitlevel policies and procedures and safeguards University assets.

CORE QUALIFICATIONS
Education:
High school diploma or equivalent
Experience:
Minimum 3 years of relevant experience.

Department Specific Functions
Ensures timely addressing of work queue Inbasket and CCed chart items in a timely manner.
Schedules and manages appointments for a multidisciplinary team.
Confirm appointments with patients regularly.
Disseminate relevant information and instructions to parents regarding the variety of care visits we offer.
Obtain authorizations for appointment types that CIV does not routinely obtain.
Make critically thoughtout judgements related to CHP practice patient management and scheduling optimization.
Device paperwork creation.
Executing minor device repairs.
Submission of relevant paperwork on behalf of our doctors to the Department of Health.
Manage the letter of medical necessity process for pediatrics.
May be asked to assist/support the adult hearing aid office or cochlear implant office.
Liaise with various teams in the Division of Audiology to provide optimal patient customer service.
Liaise with device companies to ensure correct devices/repairs are obtained for patients.
Maintaining administrative training materials for administrative employees of the Childrens Hearing Program.
Participate in community events hosted by the Childrens Hearing Program.
Complete requests made by the Director of the Childrens Hearing Program and the Sr. Division Administrator.
May be asked to participate in optimization or other special projects for the Program.
Work with Sr. Patient Navigator to facilitate smooth care for our patients.
Execute special optimization process improvement or other implementation projects as assigned by the program or divisional leadership.
Other duties as assigned.
Department Specific Qualifications
Education:
High school diploma or equivalent
Experience:
Minimum 3 years of relevant experience; administrative health care experience preferred.
Knowledge Skills and Attitudes:
Skill in data entry with minimal errors.
Ability to communicate effectively in both oral and written form.
Ability to work evenings nights and weekends as necessary.
Skill in collecting organizing and analyzing data.
Ability to work independently and/or in a collaborative environment.
