Job Description

We are now looking for an Executive Assistant CEO Office to join our growing team in Larvik Norway.

This is a dynamic position that requires professionalism discretion and a high level of organizational capability. The Executive Assistant will serve as a trusted partner to the CEO and CCO playing a key role in ensuring the smooth and efficient operation of executivelevel activities across the organization.

The Executive Assistant will act as a liaison between the CEO CCO the board of directors and senior management teams coordinating highlevel communications and overseeing special projects. All the while maintaining confidentiality and handling complex tasks with a proactive and solutionoriented mindset.

Key responsibilities in this role:

  • Provide confidential and strategic administrative support to the CEO office.
  • Manage the CEO Offices roadmap and align communication with departmental goals and responsibilities.
  • Maintain and coordinate the CEOs and CCOs calendar meetings and events.
  • Prepare highquality documents including reports presentations and correspondence.
  • Arrange international and domestic travel and accommodations; manage related expense reports.
  • Act as the primary point of contact for internal and external stakeholders.
  • Handle incoming calls and messages with professionalism accuracy and efficiency.
  • Organize and coordinate board meetings and executive outreach efforts.
  • Be available and responsive to communications outside of traditional working hours.
  • Support in the planning and of special projects and personal commitments as needed.
  • Welcome and guide executive guests in person or over the phone.
  • Anticipate and prepare information and materials in advance of meetings.
  • Resolve calendar conflicts and manage complex scheduling needs.

To succeed in this role youll need:

  • Bachelors degree required.
  • Minimum 5 years experience supporting CLevel executives in a similar role.
  • Advanced proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint).
  • Exceptional organizational and timemanagement skills with proven ability to meet deadlines.
  • Strong verbal and written communication skills.
  • High level of discretion confidentiality and professionalism.
  • Ability to handle a fastpaced environment with shifting priorities.
  • Flexible availability to support urgent matters outside normal business hours.
  • Fluency in a Nordic language is required in addition to fluent English.
