Anticipated Hiring Range: $100008 $114996 annually(Commensurate with experience and qualifications)

Work Hours: Monday Friday 8am 5pm unless otherwise notified

THE DEPARTMENT:

The Process and Project Management Office (PPMO) provides central technology management oversight for new and existing campuswide technology initiatives. This oversight includes technology focused project management and project reporting for significant processes. The PPMO also provides project management for university wide initiatives.

DUTIES AND RESPONSIBILITIES:

Leadership and administration of the Project Management Office

  • Works cooperatively with and ensures that project coordinators work cooperatively with the appropriate University and project clients/stakeholders to clarify specific needs and requirements.
  • Keeps client/stakeholder and appropriate sponsors uptodate on project status throughout process.
  • Ensures all projects are completed within budgets and schedules while meeting client/stakeholder needs business objectives and design guidelines. Works cooperatively with and ensures each project manager.
  • Works cooperatively with the appropriate Client Sponsor with other senior division unit management and other service providers to develop overall program scope strategy and requirements.

Responsible for ensuring that project coordinators follow the documented project lifecycle from the planning phase through project closure

  • Ensure that all projects are delivered ontime within scope and within budget
  • During project planning assist in the definition of project scope and objectives involving all relevant stakeholders and ensuring technical feasibility
  • Ensure resource availability and allocation prior to approving project requests
  • Develop a detailed project plan to monitor and track progress
  • Manage changes to the project scope project schedule and project costs using appropriate verification techniques.
  • Measure project performance using appropriate tools and techniques
  • Report and escalate to management as needed
  • Successfully manage the relationship with the client and all stakeholders
  • Perform risk management to minimize project risks
  • Establish and maintain relationships with third parties/vendors
  • Create and maintain comprehensive project documentation

Builds strong relationships with various areas across campus to understand the university challenges and opportunities as they relate to information technology

  • Works closely with the AVP of the PPMO and university management to determine strategic directions and tactical approaches to the application of appropriate accessible and secure technology for the campus.
  • Manages the portfolio of projects by division monitors progress and works with the project managers to ensure successful completion.
  • Create a collaborative partnership among leaders and stakeholders and enables resource demand planning change management and project pipeline planning decisions.

Oversee various programs such as change management records information management and onboarding of certain software systems like 25 Live Slate and other IT supported systems.

  • Ensure program and onboarding documentation is followed and kept uptodate.
  • Perform yearly maturity assessments on primary program documentation and biyearly maturity assessments on secondary program documentation.

Serves as representative of the PPMO or or of the Division of IT & IP in working groups meetings or university level initiatives as needed.

  • Work in collaboration with the AVP of the PPMO and other IT leaders on the strategic planning initiatives projects and related assignments.

QUALIFICATIONS:

  • Bachelors Degree Business administrative computer science or related field is required
  • Valid Driver License Valid and in State
  • 5 years related experience overseeing projects including management experience.
  • Strong functional and working knowledge of enterprise information systems policies and guidelines reporting software
  • Ability to analyze software functionality through technical documents perform fitgap analyses and design and document efficient and effective work practices.
  • Strong managerial and supervisory skills demonstrating the ability to effectively lead others and those reporting into the Project Management Office
  • Demonstrated success partnering with and influencing senior leadership
  • Demonstrated ability to manage large complex projects on time and within budget
  • Ability to express complex technical concepts effectively to people without technical backgrounds both verbally and in writing
  • Excellent interpersonal skills and ability work effectively with end users
  • Excellent written and oral communication skills. Ability to make presentation to large groups.

PREFERRED EXPERIENCE:

  • PMP or other project management certificate
  • Masters degree

University Driving Requirements

Positions that require driving for university business by using apersonal or state vehicle must comply with the Authorized University Driver Policy. Driving records are monitored and evaluated by the Risk Management Department. The Risk Management Department evaluates a good driving report based on the following criteria. The driver must: 1. Have a valid California or other State Drivers license. 2. Have no more than 3 motor vehicle violations or been the cause of 3 accidents in a 12month period (or any combination of 3 thereof) 3. Not have more than 3 DMV Points if their license is Class C or 4. Not have more than 5 DMV Points if their license is Class A B or C with endorsements.
