NEEDED: General Clerk III
PROGRAM: provide administrative support for the Family Advocacy Program (FAP) which is a communitybased prevention program designed to prevent child and domestic maltreatment. The primary goal of the FAP is to provide an organized educational approach that addresses the dynamics of family violence and its attendant problems. Objectives are accomplished by developing and providing prevention education programs classes workshops and activities for Service Members and Family members.
Background: The Family Advocacy Program (FAP) is a community oriented social service program in Army Community Service (ACS) designed to assist the commander with services designed to meet individual and community needs. The ACS Center offers the following services:
- Emergency Services e.g. Army Emergency Relief
- Employment Assistance
- Exceptional Family Member Assistance
- Family Advocacy Program
- Financial Planning Assistance
- Information Referral and FollowUp
- Mobilization and Deployment Readiness Program
- Relocation Services
- Social Work Services
LOCATION: 271 Heritage Park Lane Bldg. Fort Eisenhower Georgia 35200
SCHEDULE: Monday Friday 8 hours per day 7:30 AM 4:30 PM
QUALIFICATIONS: Shall have and provide documentation of:
- U.S. Citizen
- A minimum of one year of experience in working with a military or civilian social service agency or experience as a military Family Member.
- A minimum of two years of documented experience with Microsoft Word Power Point and Excel
- Possess basic computer skills to be able to enter and retrieve data from management systems
- Proficiency in oral and written communication skills
- A valid unrestricted motor vehicle license
- The ability to perform all duties as assigned
- The ability to complete training as required by installation program regulations and policies
- Knowledge of ACS programs
- Special Qualifications: Ability to pass a government background check National Agency Check with Inquiries (NACI) which will be performed during employee inprocessing.
JOB DUTIES:
- Operation of all computer programs. Design coordinate and collect specified risk factor data from participating agencies no later than the 10th working day of each new month.
- Validates risk factor data for accuracy completeness and submits to the appropriate authority at the MACOM level NLT the 5th working day of each month.
- Establishes and maintains files according to the Army Record Information Management System (ARIMS) containing the collected data the computergenerated results (by units) copies of all Risk Reduction related actions and Client Tracking System.
- Handles routine telephone calls and gives out general information such as office location class times and office hours and takes messages as appropriate.
- Issues films and other training materials from FAP resource library to clients.
- Updates list of installation commanders on a quarterly basis.
- Creates and inputs data into database for tracking FAP trainings and command briefings.
- Collects and analyzes staff data collected in FAP needs assessment monthly.
- Prepares graphics to support collected data.
- Prepare weekly schedule of time/attendance FAP Intake and Home visits.
- Greet customers. Assess needs. If necessary ensure that customer completes pertinent documents and notify appropriate staff.
- Must be highly proficient with Microsoft Office 2010 or newer PowerPoint Word Excel. Publisher etc.. Must have basic computer troubleshooting skills. Must be able to adapt to changing technological tools. Must have basic experience with video conferencing systems. Duties will include but are not limited to administration clerical typing filing and computer assistance.
- Schedule briefings and meetings. Prepare agendas records and prepare minutes. Handles registration for classes/trainings. Keeps track of FAP sessions and maintains a log of registration which is provided weekly for tracking.
- Maintain records of simple contacts compiles and enters the Army Family Web Portal.
- Provides monthly program reports on sessions and attendance based on registrations.
- Assist in obtaining quotes for purchases for FAP item and assist Government Purchase Card Holder with maintaining packing slips and invoices from receipt of items purchased.
- Assists FAP with assimilation of briefing material and scheduling of command briefings.
- Provide administrative support in delivering services to promote child and family functioning to Service Members and their families.

- Prepare graphics to support the collected data.
- Research training materials and promotion items to order and prepare purchase requests for ordering to support FAP.
- Must be proficient using Microsoft Office 95 Microsoft Word 7.0 Excel spreadsheet 7.0 and PowerPoint. Duties will include but are not limited to administration clerical typing filing phone answering and computer assistance.
- Schedule briefings and meetings. Prepare agendas records and prepare minutes.
- Provides administration clerical typing filing and computer assistance.
- Screen and conduct intake for clients requesting Family Advocacy program assistance.
- Provide and aid in the coordination and administration of ACS FAP.
- Assist in maintaining a comprehensive resource directory of military and civilian education and related support services within a fortymile radius of the installation.
- Assist in collecting analyzing and maintaining data from ACS management systems for planning and reporting purposes in accordance with governing program guidance.
- Coordinate with Marketing for flyers for special events seminars training and informational brochures.
- Assists in providing information on the Family Advocacy services and resources class instructions briefing and registration process.
- Make appointments for eligible Service and Family members and provide information on necessary documents before clients appointments.
- Complete intake and assessments of initial service requests and document information on the intake sheet. The Contractor will input client intake information into the ACS Client Tracking System (CTS)
