DSHS SCC Forms & Records Analyst 2
Behavioral Health Administration (BHA) Special Commitment Center (SCC) is hiring for a Forms and Records Analyst 2 to join its dynamically evolving Records Department.
This is a great opportunity for a detailedoriented and technologically skilled individual to join a collaborative team of SCC and BHA Headquarters professionals to assist in the timely production of records for subpoena requests internal records requests and public disclosure requests. This position also assists in conducting record inventories development of record retention schedules records disposition and transfers.
Please note this position is located on McNeil Island with the ability for telework after successfully completing the probationary period.
Pierce County employees are eligible to receive an Orca Card for transportation needs.
SCC employees also receive an additional $10 per day premium pay in addition to advertised salary and a free ORCA card for transportation use. Ferry transportation is provided to McNeil Island employees. This position will require at minimum three days of onsite work at McNeil Island.
Opportunities performed onsite at this work location at least three days a week may be eligible for an additional 5 premium pay in addition to the advertised salary.
Some of what youll do:- Review and process subpoena requests as well as other records requests as assigned.
- Determine the scope of the request and potential holders of information.
- Search compile organize and submit responsive records for court proceedings public disclosure and other records requests including conducting email searches.
- Redact pertinent data from records.
- Collaborate with team members to identify and analyze records systems problems and propose solutions.
- Assist with ensuring that records are organized available and protected.
- Assist with the retention of records in accordance with agency records retention requirements and schedules by following established protocols and procedures.
What were looking for:
- Working knowledge of State and Federal statutes and regulations governing Privacy Public Records and Public Records Act.
- Possess aboveaverage English composition skills.
- Excellent interpersonal skills in dealing with customers and staff at all levels of the organization.
- Working knowledge of Adobe and Office 365 product.
- Knowledge of basic legal concepts terminology practices and procedures pertaining to medical legal and administrative aspects of SCC resident records.
- Analytical skills ability to interpret complex information weigh options foresee consequences and plan required actions to meet established goals.
- Ability to break down sort and synthesize data to identify problem areas and implement corrective action.
- Ability to work independently adhere to legal timeframes and organize and prioritize workloads of self and others.
- Familiarity with Washington court rules concerning discovery and production of material in response to subpoenas and motions.
- Proficient with computer software and hardware required to scan convert archive and transfer records.
Who should apply
Positions typically require an Associates degree in business administration accounting industrial engineering or a related field;
OR
High school graduation or equivalent AND three years of experience in forms and/or records management.
