Job Description

Opportunity

PeopleTec is currently seeking an Management Analyst (Executive Assistant) to support our Huntsville AL location.

The Management Analyst (EA) will provide critical support to the MultiDomain Artillery Cannon System (MDACS) Product Office (PO) by combining analytical expertise with executive assistance duties. This role involves providing highlevel management analysis improving program performance managing daytoday administrative functions and ensuring smooth communication between leadership internal teams and external stakeholders. The individual will facilitate program operations support senior management with administrative tasks and contribute to efficient program delivery through datadriven analysis.

DUTIES:

  • Interface with a diverse group of internal and external stakeholders at all levels within the Army Department of Defense (DoD) Other Government Agencies (OGA) and industry; maintain and continually update points of contact for all stakeholders
  • Use judgement to plan prioritize and organize a diversified workload in a rapidpace and detailoriented environment
  • Manage the daily and longterm calendar of PO senior leadership
  • Apply extensive knowledge of the Microsoft Office Suite of products to develop numerous PowerPoint briefings Excel spreadsheets and documentation developed utilizing Word and Adobe Acrobat.
  • Independently review incoming/outgoing documentation/briefings for clarity grammar spelling punctuation and format and track documents through the staffing process both internally and with higher headquarters
  • Compose nontechnical correspondence to higher echelons affiliated and nonaffiliated agencies and business associates
  • Assist in the administration of the Automated Time Attendance and Production System (ATAAPS).
  • Assist in the administration of the Enterprise Task Management Software Solution (ETMS2.
  • Assist in the and control of Knowledge Management utilizing both SharePoint and MS Teams to manage permanent and temporary files of important classified and unclassified documents and correspondence including official and unofficial correspondence.
  • Arrange PO senior leader travel using the DoD Defense Travel System (DTS) to include travel itineraries hotel transportation TDY agendas and briefing packets and ensure that vouchers are submitted in a timely fashion for settlement of the travelers government travel card; Adjudicate issues with PO senior leader government travel card.
  • Coordinates with the other Executive Assistants to effectively deconflict calendars and travel schedules
  • Coordinate visit requests with security for various sites.
  • Coordinates with IT to resolve all ITrelated issues for PO senior leadership.
  • Arrange meetings prepare agendas take minutes and ensure followup actions are completed.
  • Plan organize and execute highprofile events or meetings.
  • Manage office supply inventories

Qualifications

Required Skills/Experience:

  • High degree of professionalism and experience in a fastpaced work environment
  • Prior experience using the Defense Travel System (DTS) and knowledge of Joint Travel Regulations (JTR)
  • Ability to perform in a highly dynamic work environment supporting multiple military government civilian and contractor team members
  • Experience in related field of expertise at the program/project level
  • Proficient level experience with utilization of Microsoft Office Suite of products (Word Excel PowerPoint Outlook SharePoint Teams) and Adobe Acrobat
  • Ability to prepare detailed written reports and briefings suitable for presentation to senior leaders
  • Excellent written and oral communication skills
  • Ability to brief DoD senior leaders and influence decisionmaking.
  • Flexible and positive attitude in the face of challenges and ambiguity.
  • Ability to take initiative to better support the organization.
  • Experience in planning organizing and executing highprofile events or meetings is an asset.
  • Must have a current drivers license.
  • Travel: 10
  • Must be a U.S. Citizen
  • Active U.S. DoD Secret clearance is required to perform this work. Candidates are required to have a Secret clearance upon hire and the ability to maintain this clearance level during employment.

PREFERRED / DESIRED SKILLS:

  • Experience with DoD Programs: Experience working within the Department of Defense or a related government agency particularly in defense acquisition and program management.
