We are currently recruiting for a File Management Clerk in our Toronto office to support the Firm with file maintenance of client physical and electronic documents. This position requires strong administrative and multitasking skills. The successful candidate will demonstrate initiative have the ability to work in a fastpaced environment and is detailoriented.

Major Responsibilities:

Demonstrating discretion and confidentiality strong attention to detail strong organizational teamwork and customer service skills you will:

  • Assist all legal practice areas with the physical and electronic filing of client documents using the alphanumeric filing system and efiling protocols. This includes organizing documents within files photocopying scanning and creating labels
  • Facilitate file retrieval requests with the Records Management Department
  • Maintain inventory of file content for storage and coordinate offsite file retrieval requests. This includes preparing inventory sheets of file content in boxes entering information into our Records database and quality checking files before sending offsite
  • Ensures master file list is updated for Legal Professionals
  • Perform other related duties as assigned

Position Requirements:

Education and Experience

High school diploma plus one year clerical/business experience. An equivalent combination of education training and experience will be considered.

Knowledge and Skills

  • Proficiency with MS Word Excel Outlook and Adobe Pro
  • Knowledge of records management policies and procedures records management software and database applications such as File Trail
  • Accurate dataentry skills
  • Excellent attention to detail with strong written and verbal communication
  • Organizational and time management skills required to effectively multitask
  • Strong teamwork and customer service skills
