Job Description

Position Summary

The Art and Theater Departments at the College of Saint Benedict (CSB) and Saint Johns University (SJU) invites applications for a fulltime 0.83 FTE) benefiteligible position of Department Coordinator.

The College of Saint Benedict and Saint Johns University seek a fulltime benefiteligible position of Department Coordinator for the departments of Art and Theater. This position works on a tenmonth contract with flexible hours; some evenings and weekends are required. These departments are located in the Benedicta Arts Center on the College of Saint Benedict campus.

The Department Coordinator plays a critical role in the success of the departments by assisting the department chairs faculty and students in various capacities. These responsibilities generally include office management communication and event support budgeting and supervision of student employees. This individual coordinates departmental performances scholarship auditions and admissions and recruiting events on campus.

The College of Saint Benedict (CSB) a liberal arts college for women and Saint Johns University (SJU) a liberal arts college for men are located in the central lakes area of Minnesota surrounded by more than 3000 acres of pristine forests prairies and lakes. With a total enrollment of approximately 2900 students faculty members develop relationships with students in small classroom settings and have opportunities to work closely with students on research projects experiential learning experiences and study abroad programs. The posted wage represents CSB and SJUs good faith estimate of likely compensation at the time of posting. Actual pay will be dependent upon several factors including the candidates experience qualifications and skills and may fall outside of the range indicated.

Responsibilities

Office Management Duties 35:

  1. Recruit hire train schedule and supervise student employees for the departments.
  2. Purchase monitor and maintain each departments office tools and supplies as needed.
  3. Maintain the copy and testing machines to ensure they are in working order.
  4. Submit maintenance requests for the department
  5. Coordinate and maintain inviting departmental spaces for each department.
  6. Maintain data storage for each department.
  7. Prepare new faculty members offices for their arrival ensure new faculty members have all the necessary supplies in their office before the start of the academic year.

Supporting Department Chair and Department Work 35:

  1. Assist faculty visiting guests and job candidates with timely submission of reimbursable expense documentation.
  2. Support department chairs by processing acceptance to major forms maintaining advising lists and department files and reviewing staffing grids.
  3. Support faculty assessment efforts:
    1. Process all quizzes and tests through Scantron system as requested
    2. Collect materials for annual assessment.
    3. Collect data for ongoing review (such as alumni/alumnae placements in professional programs and graduate schools).
  1. Update and maintain appropriate distribution mailing lists for announcements to major and minor students faculty student work staff alumni/alumnae and affiliated departments.

Communications and Event Support 20:

  1. Schedule and plan events for the department
  2. Coordinate scheduling of travel accommodations and public events for visiting guests and conferences sponsored by the departments
  3. Update and maintain department websites and social media platforms

Budgeting 10:

  1. Manage each departments budget including:
    1. Provide timely updates of department budget status to Department Chairs.
    2. Research and purchase office and lab items.
    3. Allocate Pcard purchases and reconcile statements.
    4. Place and manage orders and expenditures.
    5. Ensure supporting documentation of receipts are collected in accordance with the reimbursement and travel guidelines.

Qualifications

PHYSICAL REQUIREMENTS:

Ability to perform essential job functions with or without reasonable accommodations. Significant keyboard and computer use prolong sitting and occasional standing. Ability to occasionally lift up to 25 pounds.

TRAVEL REQUIREMENTS:

Position primarily at CSB campus. Travel to SJU for meetings and events may occur.
