Job Description
The Operations Specialist will serve as operational support for various process for Learning Environments and Media Production LEMP within Information Technology Services ITS . This position would report directly to the Associate Director of Operations for LEMP and is responsible for effectively managing workflows for the ordering and inventorying of A/V equipment and providing overall administrative support to the department.
Responsibilities
Place orders for A/V equipment cabling tools and supplies via various distributors and the purchase requisition/ePro process. Coordinate the delivery and receipt of A/V equipment and supplies ensuring timely arrival. Coordinate the shipping of equipment and supplies to remote campus locations as needed. Inspect incoming equipment (including displays) for damage or discrepancies and report any issues promptly. Manage warranty and RMA processes for equipment shipping and receiving. Track and follow up on all orders maintaining accurate spreadsheets for order summaries and received equipment. Organize store and label all incoming equipment for jobspecific use. Oversee major equipment and supply inventories ensuring proper control processes and system updates. Assign and track asset tags for major equipment and SU property. Maintain and update vendor contact lists ensuring communication channels remain open and efficient. Manage the Classroom Loan program by coordinating the lending of A/V equipment to faculty and staff through Orange Tracker/ JIRA Service Management (OT). Monitor and evaluate cable and supply inventories making recommendations for new orders as needed. Maintain an inventory of keys for staff and building access ensuring proper distribution and control. Monitor queue of Orange Tracker tickets for service calls ensuring assignment to Instructional Technology Consultants in a timely manner. Field and triage phone inquiries ensuring appropriate responses and followup. Order office supplies (e.g. coffee water tea) and maintain inventory. Submit facility service requests via Maximo to ensure timely maintenance and repairs. Provide general administrative support to the Associate Director assisting with daytoday tasks. Ensure the office and storage areas remain organized clean and wellmaintained. Other duties as assigned.
