Job Description

Chemik Hospice Care LLC is seeking a reliable detailoriented and motivated Office Manager to oversee the daily operations of our hospice administrative office. This position plays a key role in ensuring smooth internal workflows compliance with state and federal regulations and strong communication across departments. The Office Manager will supervise office staff support clinical and administrative teams and help maintain a compassionate professional and organized work environment.

Key Responsibilities:

  • Oversee daily administrative operations of the hospice office
  • Manage office staff schedules tasks and performance
  • Maintain organized filing systems (electronic and physical) for patient records and company documentation
  • Ensure timely data entry and document uploads into EMR systems
  • Coordinate with billing intake and clinical departments to support operational efficiency
  • Monitor supply inventory and coordinate purchasing of office and medical supplies
  • Ensure compliance with HIPAA OSHA and all hospice regulatory requirements
  • Support preparation for audits surveys and accreditation visits
  • Assist with onboarding and orientation of new administrative staff
  • Provide excellent internal and external customer service to patients families referral sources and vendors

Qualifications:

  • High School Diploma or equivalent required (Associate or Bachelors degree in Business or Healthcare Administration preferred)
  • Minimum of 2 years experience in healthcare office management preferably hospice or home health
  • Strong knowledge of EMR systems (e.g. Alora WellSky Kinnser etc.
  • Understanding of hospice regulations HIPAA compliance and healthcare documentation
  • Excellent organizational communication and multitasking skills
  • Proficient in Microsoft Office Suite (Word Excel Outlook)
  • Ability to work independently and lead a team in a fastpaced environment
