JLL are currently recruiting for a dedicated and skilled Assistant Facilities Manager to support the Facilities Management team in delivering exceptional facilities services to occupiers across one or more managed properties. The successful candidate will work closely with the Facilities Manager(s) to ensure the highest standards of property management adhering to JLLs best practices and understanding the business objectives of the investment.
Based at a premium asset site this position offers an excellent opportunity for growth within a dynamic facilities management environment. The successful candidate will play a crucial role in maintaining highquality standards across our managed properties while ensuring client satisfaction and operational efficiency.
Position: Assistant Facilities Manager (AFM)
Location: Chamberlain Square. Birmingham
Reporting to: Facilities Manager(s) (FM)
Key Responsibilities:
Facilities Management Support:
Assist in delivering client KPIs as outlined in the Property Management Agreement (PMA)
Support the implementation of Instinct operational initiatives to enhance customer experience
Aid in the smooth transition of properties into management and prepare for potential sales
Ensure onsite management aligns with JLLs policies processes and procedures
Occupier Relations:
Serve as the primary point of contact for daytoday building operations
Liaise with occupier representatives to resolve issues at the local level
Provide advice and guidance on physical property operations
Support the FM in addressing occupier matters that may impact property valuation/investment
Financial Management:
Assist in setting and controlling service charge budgets
Support quarterly variance reporting and reconciliation processes
Aid in procurement activities adhering to JLLs PAM procurement program
Contractor Management:
Monitor contractor performance against agreed standards
Help prepare site regulations and issue work permits for contractor activities
Assist in the implementation of minor works
Health Safety and Compliance:
Support the buildings Social Responsible Management activities including H&S and environmental/sustainability initiatives
Maintain test and implement disaster planning procedures and relevant procedures
Building Operations:
Assist in managing building plant and equipment
Take responsibility for building management systems where appropriate
Monitor vacant/void property in accordance with client insurance policies
Conduct site visits as per the program issued by the FM
Documentation and RecordKeeping:
Establish and maintain proper site records following best practice rules
Assist in developing and maintaining occupier handbooks
Team Collaboration:
Work closely with various virtual teams within the JLL Property Management team including Client Relationship Directors Contract Directors Management Services and Client Financial Services
Qualifications and Skills:
Previous experience in facilities management or a similar role
Strong understanding of building operations and maintenance
Excellent communication and interpersonal skills
Financial acumen
Proficiency in Microsoft Office suite and familiarity with building management systems
Ability to work independently and as part of a team
Strong problemsolving and organizational skills
Knowledge of health and safety regulations and environmental sustainability practices
