ONA is seeking to hire an Executive Assistant Legal to join our Legal department. The successful candidate will report to the Chief Legal Officer (CLO) and will provide coordination of legal support operational logistic strategic and administrative functions for the Strategy Legal Team within our Legal Department.
This is what else you can expect from this dynamic role:
- File legal documents prepare and track legal issues and cases prepare memoranda/ direction correspondence and other legal materials.
- Leads on coordinating submission and review of legal reports and presentations to the CLO for submission to the Board of Directors and for Union Conventions including reviewing proofreading and formatting.
- Administrative and legal support to members of the Strategy Legal Team as required including for confidential or sensitive matters and expenses submissions.
- Manage and coordinate payment of legal invoices for the CLO and Strategy Legal Team.
- Manage CLO inbox during periods of absence and calendar including adding appointments scheduling meetings securing meeting space.
- Schedules Strategy Legal Team meetings 1:1 connects books meeting rooms and sends video links.
- Prepares vacation planning calendar for the Legal Strategy Team.
- Facilitates meetings produces and distributes agendas and associated documents and prepares minutes of Strategy Legal Team meetings and other managerial meetings where the CLO acts as the Chair.
- Handles registration travel arrangements and accommodations for events seminars meetings and other engagements and prepare monthly expense claims.
- Discuss issues recognizing and bringing forward the urgent issues to the CLO/Senior Legal Advisor/Managers attention and forwarding to the appropriate parties for resolution.
- Provide organized and proactive administrative support including preparation review processing and distribution of correspondence presentations reports information packages briefing materials or background documents.
- Handle inquiries from internal and external sources; gather information and coordinate routine inquiries on own initiatives as required.
- Identify improvements to work processes and make recommendations on how to implement them.
- Maintains the highest level of accountability and regularly exercises a high degree of discretion and confidentiality while maintaining a professional demeanor.
- Performs other related duties as assigned.
What we are looking for:
- Postsecondary Certificate or Diploma in legal office assistant office administration/secretarial Program or related field.
- Minimum of five 5 years administrative or legal support experience.
- Demonstrated experience with administrative procedures project coordination processes and standards.
- French bilingual or the ability to speak other languages is considered and asset.
- Must have excellent interpersonal verbal and written communication skills.
- Detail oriented and organized with a high level of accuracy.
- Ability to use a variety of software programs databases and programs including but not limited to Microsoft Office Suite.
- Must have a sound knowledge of electronic calendar and file management skills.
- Must be flexible adaptable and able to work well with others.
- Must be able to communicate effectively with staff ONA members and stakeholders.
- Selfdirected with an ability to organize plan prioritize and multitask in a fastpaced changing environment.
- Accessible beyond regular business hours with the expectation to be on call in the evenings and on weekends to respond to issues if required.
The successful candidates must be able to travel possess a valid drivers license and have access to an automobile for business use.
