Grants Specialist
Background: Austin Pets Alive! is one of Austins most dynamic and bestloved nonprofits. The organization rescues treats and adopts more than 10000 homeless dogs and cats each year providing the safety net for Austins most atrisk shelter pets while also assisting other communities in saving homeless animals. While the organization is still distinguished by the spiness of its grassroots communitybased animal rescue work APA! has a national reputation for excellence in lifesaving programs and is recognized as a thought leader in animal welfare.
SUMMARY Austin Pets Alive! (APA!)s fulltime Grants Specialist participates in supporting the organizations lifesaving programs. The Grants Specialist will work under the direction of the Sr. Director of Philanthropy and Communications in researching preparing submitting and managing grant proposals and reports while meeting funding guidelines and understanding foundation criteria. This person will serve as the primary writer of grants and reports for APA!s operations will be responsible for documenting and tracking the grants process and will maintain the storage of grant documents. This role will be expected to develop relationships with grantmakers. While the Sr. Director sets the strategy for grant revenues and maintains relationships with the highest level grantmakers and those supporting our national fundraising strategy the Grants Specialist will be expected to also play a lead role in maintaining grant income for APA!s local operations. This position requires clear persuasive writing; data analysis; research skills; program budgeting; project management skills; and a firm grasp of outcome measurement. The Philanthropy team drives hard to meet ambitious funding goals yearly and the person filling this role must be able to handle a steady stream of proposals and reports.
Best suited to this position will be a person who loves working independently to reliably meet deadlines and funding goals and takes pride in producing excellent work. The role offers some flexibility in setting work hours as long as deadlines are met without fail and meetings are attended as needed. This is a hybrid role with the ability to work offsite in the Austin area 3 days a week and onsite 2 days a week to work in collaboration with development accounting and marketing staff and with animal program managers.
DUTIES AND RESPONSIBILITIES - Create and submit LOIs proposals grant budgets and supporting documents
- Conduct grants prospect research and create a schedule for proposals and reports
- Assist in managing foundation relationships and keeping senior leadership informed when they are the primary steward of the relationship
- Create and submit interim and final grant reports on time including narratives of grant activities reporting on performance measures/project outcomes and on grant spending
- Coordinate with the marketing team in carrying out any required or desired PR or other recognition associated with each awarded grant
- Maintain thorough records on every grant applied for at APA! track the progress of each application and manage reporting requirements
- Log all grant documents and correspondence into an established document management system
- Work courteously and cooperatively with a focus on civility with staff volunteers fosters adopters and donors.

PHYSICAL JOB REQUIREMENTS
- Must be able to work around animals (including diseased injured and/or potentially aggressive animals) loud noises and inclement weather.
REQUIRED QUALIFICATIONS
- Previous grant writing experience required
- Background in animal welfare and/or a passion for animals required
- A flair for persuasive powerful succinct writing is essential
- Ability to understand both APA!s needs and programs and the needs of grantmakers
- Thorough and exacting research skills; familiarity with grant databases such as the Foundation Directory Online
- Ability to craft grant budgets and to understand nonprofit financial reports with the support of APA!s Finance Team
- Firm understanding of performance measurement and ability to understand and collect relevant program data for proposals and reports. The specialist will at times need to lead on establishing performance measurement for our programs
- Selfmotivated to complete tasks on time and flawlessly take initiative and to reach for excellence with the ability to understand and execute complex instructions
- Detailoriented adaptable organized and demonstrated ability to successfully manage multiple projects and tasks with relatively few resources
- Ability to respond in a timely manner to internal and external requests for information
- Must be able to work well independently and in collaboration with other staff
- Proficiency in MS Word and Excel; additional experience with GSuite tools a plus

WORKING RELATIONSHIPS
- This position reports to the Director of Philanthropy Partnerships. The Grants Specialist has no direct reports.
TIME COMMITMENT This is a fulltime position of 40 hours weekly.
LOCATION(S
- This is a hybrid role with scheduling 2 days a week at an onsite location and 3 days offsite/remote. Must be located in the Austin area
- Some local travel for inperson events and meetings as well as to gain an understanding of our programs and connect with program staff is required
