Job Title: Newborn Coordinator (NonExempt Position) General Summary Of Duties: Outreach to new parents needing assistance in scheduling appointments classes and care coordinating. Supervision Received: Reports directly to the Pediatrics Senior Office Manager Typical Working Conditions: Standard medical office working conditions. Involves frequent telephone contact with patients. Examples Of Duties: (This list may not include all of the duties assigned. - Acts as a liaison for new parents and our pediatric offices
- Attends all new parent classes
- Gathers all necessary documents to create newborn accounts entering demographics and historical data.
- Contacts parents while in the maternity ward to schedule initial pediatric visits. Schedules lactation consultant if needed.
- Follows up with parents at four weeks to verity insurance coverage and assists with the selection of medical plans if needed.
- Reaches out to parents after first visit to review practice information set up portal access and schedule well baby visits at age appropriate intervals.
- Reviews charts for newborn screenings and helps schedule any tests that need to be repeated.
- Attends Car Seat Technician class and inspects car seats for new parents at the office or during events
- Assists with referrals and care coordination as needed
- Maintains patient confidentiality and protected health information (PHI) in a manner consistent with HIPAA
Performance Requirements: - One year of pediatric office experience preferably in a busy medical office setting.
- Prior experience in patient outreach and referrals very helpful
- Knowledge of medical insurance plans a plus
- Ability to create and maintain effective relationships with the hospitals providers patients and staff
- Provides superior and compassionate care to patients and their parents
- Knowledge of electronic medical records desirable
Education: High school graduation or GED. Experience: One year work experience preferably in a pediatric medical office setting. Word processing and computer experience. Certificate/License: None Typical Physical Demands: Work may require sitting for long periods of time; also stooping bending and stretching for files and supplies. Occasionally lifting files or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard type at 40 wpm operate a calculator telephone copier and such other office equipment as necessary. It is necessary to view and type on computer screens for long periods and to work in an environment which can be very stressful.
