Position Summary

The Coordinator of Residential Facilities Maintenance is responsible for the overall maintenance of HeartShares DD residences and supportive/ISS apartments including interior and exterior physical plant as well as lawn maintenance and snow removal. It is the Coordinators responsibility to maintain all properties to the HeartShare standard and to ensure that all repairs maintenance and renovations occur in a timely and satisfactory manner.

The Coordinator directly supervises the Maintenance Crew Leaders and the Administrative Assistant providing support to Residential Facilities Management.

Primary Responsibilities and Essential Functions of Position

Under the supervision of the Senior Vice President for Support Services the Coordinator of Residential Facilities Maintenance will fulfill the following responsibilities:

  • Facility Management & Supervision of Personnel
  • Overall responsible for maintenance of HeartShare DD residences and apartments including interior and exterior physical plants lawn maintenance and snow removal. This includes maintenance repair and replacement of HVAC systems boilers plumbing and electrical.
  • Participate in quarterly meetings to monitor agency RRR projects for HeartShareowned residential properties. Manage and oversee RRR renovations projects.
  • Assist senior administrators in determining agency standards for materials and finishes including cabinets vanities and floors.
  • Oversee and supervise the residential maintenance crews to ensure that all residences and apartments are maintained well on a routine basis and that all repairs/renovations are completed in a timely manner as per agency policies and standards.
  • Prioritize work order requests to ensure that program needs are being met.
  • Ensure that areas of concern related to Physical Plant that are cited during OPWDD audits are immediately addressed and corrected including Life Safety concerns related to physical plant.
  • In conjunction with Residential Coordinators and Managers develop and maintain repair and maintenance schedules that meet sitespecific needs.
  • Ensure that all maintenance crews are following assigned schedules on a regular basis. Conduct spot checks of crews to review work being performed and ensure compliance with HeartShare standards.
  • Ensure that Petty Cash reimbursements and Home Depot/Lowes cards are replenished as needed and within required timeframes per agency policy.
  • Ensure that Payroll is completed and submitted timely.
  • Maintain a written inventory of all tools and equipment utilized by maintenance personnel and that the inventory is updated twice a year.
  • Ensure maintenance of vehicles assigned to work crews and completion of Vehicle Usage Reports as per agency policies and procedures.
  • Ensure that emergency calls after program hours are promptly responded to as needed.
  • Interview and hire new staff as needed.
  • Maintain daytoday supervision of all direct reports. Conduct disciplinary followup as necessary. Conduct annual performance evaluations of all direct reports.
  • Ensure annual performance evaluations are completed for all Maintenance workers.
  • Bid Procurement & Working with Contractors
  • Identify contractors and secure initial bids for renovations and repairs of residential properties as requested by the Residential Directors Coordinators and Managers or as observed.
  • Identify new vendors and ensure proper vetting through HeartShares Purchasing Department per agency policies and procedures.
  • Upon award of contracts ensure that jobs start and finish within the required timeframes. Conduct regular inspections of contracted work to ensure that work is of good quality and meets specifications. Address any concerns and bring major issues to the attention of the Senior Vice President of Support Services.
  • As requested assist Senior Vice President of Support Services in monitoring major renovations for new program development. As requested attend regular project meetings with architect and contractor(s). Conduct onsite inspection of work being performed. Bring any major concerns to the attention of the Senior Vice President of Support Services and assist in addressing identified issues.
  • General
  • Follow all agency state and federal regulations to maintain program compliance. Ensure that all required written reports and documentation are completed and submitted on a timely basis.
  • Ensure that program participants are safe at all times and that no program participant is inappropriately left alone or unsupervised. Inform a program supervisor immediately if such a situation exists.
  • Maintain confidentiality of program participants at all times.
  • Report all incidents including allegations of abuse and neglect to program management immediately upon discovery.
  • Assist in ensuring overall program orderliness and cleanliness at all sites. Report any hazard or unsafe conditions immediately to supervisor and assist in removing such hazards/unsafe conditions as feasible.
  • Use positive approaches when handling difficult situations. Avoid gossip and negative discussions. Be flexible and adapt to change.
  • Abide by agency dress code. Always conduct oneself in a professional manner.
  • Remain sensitive and responsive to cultural differences between program participants and staff.
  • Participate in internal and external training as required for professional growth and development.
  • Represent Heartshare both within and outside the organization in a manner that promotes the mission vision and values of the agency. Personally adhere to Heartshares Standards and Values Statement in addition to all other agency policies and procedures.
  • Undertake any additional tasks and initiatives as assigned by supervisor or program management.

Qualifications

Qualifications

  • Bachelors degree from fouryear college or equivalent
  • Prior handson contracting and/or project management experience
  • A minimum of 5 years experience supervising and managing maintenance and contract workers
  • Experience in maintenance and cleaning standards for large sites and multiple sites
