Job Description

This is a remote position.

Schedule: Monday to Friday 8 hours per day flexible within client business hours (Dee Why NSW AU)
Paid hours per week: 40 hours per week


About the Client:

The client is a fastgrowing branding agency helping B2B businesses build powerful brand foundations that drive growth. We take a strategic longterm approach to branding combining strategy design and content to position our clients for success.
We are looking for a highly organized proactive and techsavvy Operating Manager to oversee projects ensure smooth and support projects and marketing.
Important: This role requires full commitment. The candidate must not have another job.

What You ll Do

Project Coordination:

  • Manage timelines tasks and milestones in Asana keeping everything up to date and easy to follow.

  • Track progress across branding and web projects flagging risks and helping unblock the team.
    Set up and maintain project templates and workflows to streamline repeatable work.

Team Support:

  • Use Slack for daytoday communication nudges reminders and updates.

  • Be the goto for organising team checkins capturing next steps and keeping internal folders tidy and accessible.

  • Make sure files are always checked and ready before being shared externally.

Client Coordination:

  • Schedule client calls send followups and help keep client communications clear and timely.

  • Keep track of deliverables and ensure we re always delivering what we promised when we promised it.

Automation & Process Improvements:

  • Spot inefficiencies and build smarter systems to solve them.

  • Set up automations in Asana Slack Google Workspace or Zapier to save time and reduce human error.

  • Document and improve SOPs so our workflows scale as we grow.

General Operations:

  • Support the founder and Creative Director with daytoday operational needs.

  • Help manage contracts scheduling invoicing and other admin tasks.

  • Keep a pulse on team capacity and project status always a few steps ahead.


Marketing & Operations Support

  • Set up and automate email sequences and booking systems for lead generation.

  • Build publish and optimize landing pages & lead magnets.

  • Set up and track the sales funnel & lead conversion Pipeline (from visitor to closed deal).

  • Help schedule and publish social content (we ll provide the content or collaborate on it).



Requirements

  • 2 years of experience as a Project Manager in a creative agency or marketing team.

  • Fluent in English with excellent written and verbal communication.

  • Strong team player who collaborates well with clients and colleagues.

  • Strong proficiency in Asana.

  • High attention to details.

  • Customer service mindset ensuring clients always feel informed and supported.

  • Experience with email marketing & automation platforms

  • Comfortable with landing page builders & marketing tools

  • Takes initiative and thinks outside the box to improve processes.

  • Highly organized detailoriented and proactive.

  • A transparent communicator who keeps stakeholders informe

  • Operationsminded able to keep things running efficiently.
