Job Description

This is a remote position.

Schedule: Monday to Friday 9 AM 5 PM Glenmont NY time



We are seeking an organized and proactive individual to join our team as the Head of Maintenance at our property management company. In this leadership role you will oversee the maintenance operations for our properties ensuring that work orders are processed efficiently vendors are managed and tenants are satisfied. You will be responsible for coordinating with contractors ordering materials scheduling work and ensuring compliance with company procedures. The ideal candidate will be detailoriented comfortable providing feedback and able to communicate effectively with both tenants and contractors. While an indepth knowledge of construction is not required the ability to follow adjust and improve systems is crucial to success in this role.


Key Responsibilities:

  • Work Order Management: Review and prioritize incoming maintenance requests ensuring accurate and timely closure of work orders.

  • Vendor Coordination: Schedule and manage vendors to complete maintenance tasks in a timely and costeffective manner.

  • Material Ordering: Order necessary materials and equipment for maintenance jobs and ensure they are delivered on time.
  • Tenant Communication: Coordinate with tenants to schedule work ensure satisfaction and follow up for feedback and reviews after maintenance tasks are completed.

  • Documentation and Compliance: Ensure contractors are properly closing work orders and including all necessary documentation such as photos videos notes and invoices.

  • Monitoring KPIs: Track and monitor key performance indicators (KPIs) related to the speed and quality of work order resolution making adjustments as needed to meet company goals.

  • Feedback and Coaching: Provide constructive feedback to contractors to improve performance and adherence to procedures.
  • Crisis Management: Effectively handle communication with tenants who may be in distress offering solutions while maintaining professionalism.
  • System Improvement: Evaluate and improve existing processes and systems for managing maintenance requests ensuring maximum efficiency and customer satisfaction.


Requirements

  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Ability to provide direct feedback to contractors and ensure tasks are completed to company standards.

  • Comfortable handling difficult conversations with tenants and contractors particularly in stressful or challenging situations.

  • Strong problemsolving and decisionmaking skills.

  • A resultsdriven attitude with the ability to track KPIs and make necessary adjustments.

  • Knowledge of basic maintenance practices is beneficial but not required; candidates should be comfortable using company resources AI and other tools to find creative solutions and to gain an understanding of work order terminology.

  • Ability to adapt and improve existing systems to enhance efficiency and productivity
