Position Summary

JOB DESCRIPTION

At KIPP Public Schools Northern California we believe accurate and actionable student data is key to student success. We are seeking a Dean of Data and Student Information (DDSI) to ensure students meet academic and administrative milestones by holding both students and adults accountable for excellence.

This leadership role is ideal for a highly organized detailoriented individual who follows through and sets high expectations for students and families. As the owner of the schools data systems the DDSI meticulously maintains student records ensures compliance with local state and federal requirements and leverages data to support academic achievement attendance and behavioral outcomes. By analyzing trends and coordinating interventions this role drives datainformed decisions that keep students on track for success.

Reporting to the Director of School Operations the DDSI will sit on the Operations Team as well as the Academic Leadership Team collaborating closely with school leaders teachers and the Regional Operations team to ensure data drives equity and achievement.

Preferred Qualifications

Experience:
  • 3 years of experience in project or program management with demonstrated expertise in navigating student information systems or relational databases analyzing data trends and ensuring data integrity.
  • Experience working in a K12 school. Preferred.
  • Experience working in fastpaced entrepreneurial environments where strong problemsolving skills and adaptability are essential. Preferred.

Education:
  • Bachelors Degree

  • Proficiency in Google Suite and student information systems (e.g. PowerSchool or similar). Advanced skill set in Google Sheets including an ability to proficiently use the following functions:
    • ARRAYFORMULA
    • VLOOKUP/HLOOKUP
    • INDEX & MATCH
    • IMPORTRANGE
    • FILTER
    • REGEXMATCH / REGEXEXTRACT
    • SUMIFS / COUNTIFS / AVERAGEIFS
  • Excellent communication skills and customer service approach with the ability to clearly explain complex data and processes to students families and staff.

Essential Functions and Responsibilities

Student Enrollment & Records Management:

  • Manage student registration enrollment withdrawal and transfer processes ensuring accuracy and compliance.
  • Lead student lottery processes including preparation data management and postlottery enrollment communications.
  • Own and oversee the online student registration process collecting and tracking required materials.
  • Verify and process student records including enrollment eligibility transcripts and demographic data.
  • Maintain accurate student records in compliance with federal state and school policies ensuring data security and confidentiality.
  • Manage student records requests from external schools colleges and regional operations.

Student Information & Data Accuracy:

  • Sits on the Academic Leadership Team serving as the campus expert on student information systems (PowerSchool CALPADS Schoolmint Deanslist ParentSquare Clever) ensuring all data is uptodate.
  • Steward all student data systemsincluding owning policies and protocol.
  • Train staff to maintain accurate student data especially adherence to the grading attendance and behavior/discipline policies and hold staff accountable to these expectations.
  • Lead schoollevel audits to ensure compliance and accuracy of student data.
  • Manage student and staff access to Ed Tech programs through Clever.
  • Analyze key student data trends (e.g. attendance academic progress discipline) to support leadership in decisionmaking.
  • Manage data requests from local authorizers and internal stakeholders for grant reports research and compliance reporting.
  • Coordinates weekly COST meetings including owning the agenda identifying students to assign case managers rolling up schoolwide data and trends progress monitoring interventions and holding cost team members accountable for follow through.
  • Participate in regional audits to ensure 100 accuracy of student data.

Attendance Compliance & Intervention:

  • Lead campuswide daily attendance processes ensuring compliance with district and state guidelines.
  • Analyze attendance data reconcile records and prepare attendance reports.
  • Train and support teachers in accurate timely attendance tracking.
  • Facilitate biannual district attendance compliance audits.
  • Support attendance interventions and incentives to reduce chronic absenteeism and increase ADA.

Academic Progress Monitoring & Graduation Tracking:

  • Ensure accurate calculation and reporting of student grades GPAs and credit accumulation.
  • Develop and maintain statecompliant transcripts that align with college and career readiness.
  • Serve as the campus expert on graduation eligibility (AG requirements alternative pathways) and track student progress accordingly.
  • Coordinate with Ed Specialists and case managers to ensure alternative graduation pathways are in compliance and reflected accurately in progress to graduation and credit monitoring systems.
  • Monitor student progress toward graduation using the regional Progress to Graduation Tool identifying students at risk of failing or not graduating on time.
  • Assign and track credit recovery pathways in collaboration with school leadership.
  • Support faculty reward programs and activities that foster a culture of academic achievement.
  • Consult leadership on student promotion and retention decisions based on academic data.

Scheduling & Course Management:

  • Lead the annual master schedule and student scheduling process including developing and preparing the schools master schedule in PowerScheduler scheduling students in classes and exercising judgment to adjust student schedules.
  • Maintain course catalogs ensuring course integrity and alignment with graduation requirements.
  • Coordinate teacher and advisor responsibilities to support student academic progress.
  • Process and verify grades report cards and transcript updates.

Family & Student Engagement:

  • Organize and host parent workshops studentled conferences open houses and other events to support academic transitions.
  • Ensure families understand the benefits of attending a KIPP high school and how to support student success.
  • Communicate progress updates to students families and staff regarding key academic attendance and behavioral data.
  • Execute stakeholder communications related to enrollment scheduling and academic progress.
Physical Mental and Environmental Demands

Physical: Ability to navigate office and school campuses and hold meetings in different spaces. Traditionally much of the day involves sitting. Ability to access and utilize technology. Occasional lifting/carrying of equipment 120 lbs.

Mental: Stress of deadlines and normal work standards ability to analyze problems and generate alternatives work with interruptions concentrate for long periods of time read calculate perform routine math problems memorize and recall objects and people.

Environmental: Office environment subject to constant interruptions and distractions. KIPP adheres to health and safety guidelines as outlined by the CDC CDE and public health agencies recommendations.

Classification
Fulltime exempt position. Located on site at our High School in Stockton.

KIPP Northern California is dedicated to you and your familys wellbeing! We offer a competitive salary as well as a comprehensive benefits package including medical dental vision and transportation benefits.
We benchmark annually against school districts and charter schools in the regions where we operate to offer competitive salaries. The salary range for this position will be between $90000 $99785.
