Job Description:
Under the administrative direction of the Chair of Nursing Studies department the Program Support Officer is responsible for providing administrative support to the Chair Nursing Studies as well as support to the staff working within and support to the students enrolled in Nursing Studies programs.
Under the direction of the Chair this position is responsible for coordinating and scheduling departmental meetings and other meetings both internal and external as well as planning and carrying out administrative activities including preparing correspondence minutes and reports frequently of a confidential strategic and/or specialized nature. As well they will coordinate the onboarding process for new faculty and staff assist with part time contracts and review parttime payroll. Additionally acting as liaison the incumbent collaborates with the Chair Coordinators Curriculum Office and the V.P. Academic Office to establish changes required for the Annual Curriculum Review process for multiple programs within the department. The incumbent also completes all book orders for the department in coordination with faculty.
Duties and Responsibilities:
Administrative Support:
Schedule meetings coordinate events and maintain contact lists.
Record and disseminate meeting minutes.
Communicate information from the Chair to staff.
Respond to student inquiries and provide advice on sensitive issues.
Liaise between Chair students and staff.
Payroll Coordination:
Process parttime payroll and resolve related issues.
Assist with onboarding and contract generation.
Track class cancellations for payroll accuracy.
Curriculum Review:
Gather inputs for curriculum updates and prepare reports.
Update curriculum data on SIS.
Textbook Orders:
Manage faculty requests and track adoptions.
Student Awards:
Provide information about awards and organize the annual ceremony.
Coordinate award disbursement.
Other Duties:
Provide information on college policies and procedures.
Guide faculty and students on administrative requirements.
Cover front desk/reception as needed.
Required Qualifications:
Minimum two 2 year diploma in Business Administration Office Administration Executive or equivalent;
Minimum three 3 years of relevant practical work experience in the office administration/clerical field.
Experience in Microsoft Office proficiency in Excel intermediate level
Experience in minute taking and business writing including proofreading documents and excellent attention to detail
Experience in a studentcentered environment
Excellent written and verbal communication skills
Communication in a variety of capacities to a diverse clientele Experience working with a student information system in a postsecondary education environment
