Job Description

Your responsibilities

The CMS HGCAL project is a largescale effort to develop and operate a nextgeneration particle detector for the CMS Experiment at CERN set to begin Physics datataking in 2030. Currently in the construction phase the project involves the production of numerous electronic and mechanical components through industry partnerships with assembly and testing distributed across various CMS institutes. The primary detector assembly site is CERN where many scientists and engineers from over 50 universities and national laboratories across 20 countries will contribute in the coming years. We are seeking an Administrative Support Specialist to assist the project management team and the HGCAL community at CERN.

Key Responsibilities: 

  • Schedule management meetings and CMS HGCAL weeks take minutes and send reminders for upcoming events and action items.
  • Assist in tracking deliveries acceptances income and expenses related to project contracts.
  • Work alongside the Logistics Manager to oversee shipments track parts moving between CERN and collaborating institutes and manage inventory for detector components at CMS Point 5 and CERN.
  •  Support the HGCAL Communications group by developing and maintaining documentation for onboarding and training new team members.
  •  Generate reports on logistics finances meetings and other project activities as needed.

Your profile

Skills

  • Proficiency in standard office software tools
  • Strong organizational and timemanagement skills with the ability to handle multiple tasks simultaneously
  • Ability to work effectively in an international and multicultural environment
  • Spoken and written English with a commitment to learn French

Additional Information :

Job closing date: 06.04.2025 at 23:59 Hrs CET.

Contract duration: 24 months with a possible extension up to 36 months maximum.

Working hours: 40 hours per week
