Job Description

The Meeting Planner I serves as the primary liaison and main point of contact for assigned meetings and events. This role is responsible for managing all aspects of event planning and executionfrom postcontract through final billingensuring alignment with client goals and delivering exceptional service at every stage. The Meeting Planner I collaborates closely with clients to understand their objectives implement strategic solutions and flawlessly execute logistics to create impactful resultsdriven experiences.

***Preference will be given to applicants located in the Cincinnati area though virtual candidates will also be considered***

50 PROCESS MANAGEMENT:

  • Utilizes business program/event management system to manage project from contract turnover meeting to final bill completion.

  • Communicates between suppliers and clients.

  • Coordinates site inspections as needed.

  • Coordinates all details and produces a program/event itinerary/working agenda that outlines all specifics and requirements.

  • Works with accounting to complete final bill reviews final billing prior to final invoicing to client.

  • Maintains accurate records system input and complete file management as outlined in applicable policies and procedures.

  • Works on special projects as assigned.

30 RELATIONSHIP MANAGEMENT:

  • Day to day client contact and works closely with client to ensure objectives are executed.

  • Maintains proactive positive open line of communication with client to ensure understanding of expectations and client satisfaction.

  • Conducts regularly scheduled status meetings with client and stakeholders from prelaunch through program/event operation.

20 FINANCIAL MANAGEMENT:

  • Responsible for capturing and updating business management systems with accurate financial information as needed.

  • Manages overall program budget reviews and audits all program related billing for accuracy.

  • Tracks and reports expenses to clients and communicates changes to them on a consistent basis. May initiate and reconcile supplier payments.

Qualifications

  • Bachelors degree or equivalent experience required.

  • 13 years of experience in event or meeting management including budget maintenance desired.

  • Cvent experience is preferred.

  • Destination knowledge and/or prior experience with hotel sales is a plus.

  • Prior experience in developing and maintaining key client and supplier relationships desired.

  • Excellent computer skills knowledge of Microsoft Office tools & ability to learn new technology quickly.

  • Prior experience in effectively handling multiple projects/demands.

  • Ability to travel approximately 20.
