Job Description

LOCATION: Barcelona

TYPE: Hybrid

What will you do

Were looking for an Office Manager who is organized proactive and ready to make an impact in our vibrant fastpaced office! If youre someone who loves keeping things running smoothly helping the team stay organized and making the office a great place to work this is the role for you. Youll be a key player in ensuring the office operates efficiently while supporting both our team and management. Youll report directly to the People & Culture Manager and have a significant influence on the daily flow of the office.

Your Role:

Be the Face of the Office: From greeting visitors to answering calls and inquiries youll make sure everyone feels welcome and supported right from the start.

Keep Things Moving: Youll manage deliveries and pickups ensuring that everything is where it needs to be on time.

Organize & Maintain: Youll ensure the office stays clean organized and functional from common areas to meeting rooms so everything runs seamlessly.

Prepare for Success: Setting up meeting rooms and making sure all materials are ready for key meetings (board meetings shareholder meetings etc. will be part of your regular flow.

Stock & Supply: Youll monitor and replenish office supplies and keep the kitchen stocked making sure everyones got what they need throughout the day.

Secure the Space: Oversee office security access control and work closely with IT to resolve any tech issues.

Vendor Management: Youll be the point of contact for vendors and service providers managing contracts negotiating pricing and ensuring the office gets the best service possible.

Manage Corporate Travel: Youll create and implement the companys travel policy manage all travel logistics (flights accommodation transportation) and ensure all visa requirements are met. Youll also monitor compliance with the policy manage budgets and optimize cost and time efficiency.

Admin Support: Whether its filing copying or scanning youll provide essential administrative support that keeps the office running smoothly.

Support the Team: Youll be a goto for general office tasks helping staff and management with everything from scheduling to organizing.

Assist Management: From keeping the executive calendar up to date to preparing expense reports your support will keep our leadership team on track and efficient.

Drive a Positive Culture: Help keep the workplace engaged and energized by supporting employee initiatives promoting our company culture and organizing fun office events.

The type of tasks and responsibilities may be expanded according to the companys needs.

Requirements:

Highlevel training (CFGS Secretary/Administrative or equivalent).

Minimum of 3 years of experience in office administration and management support.

At least 3 years of experience organizing corporate travel.

Languages: Native Spanish and intermediate English (B2 level).
