Hours: MF Full Time Position available. Hybrid PositionOffice Days/Home Days.

Position Summary
We are seeking a Scheduling Coordinator to join our team. This person is responsible for inputting requests from clients over the phone working with our specialized communication and scheduling software to manage the logistics of appointment fulfillment scheduling changes logistics and more.

The job involves working closely with several other coordinators in the department as a team to complete scheduling tasks and deadlines. This position requires good phone presence customer interface the ability to multitask input data accurately while managing lots of variables work under urgent deadlines problem solve and work independently in a fastpaced environment.

Job Duties and Responsibilities:

Logistics Management:

  • Manage freelance contractors complex schedules while considering profit margin and suitability
  • Coordinate with teammates and our freelance contractors to optimize appointment fulfillment rate and client satisfaction
  • Gather and verify appointment information and accurately input data into our unique scheduling software.

Collaboration and Customer Service:
  • Professionally handle incoming calls providing excellent customer service and problemsolving
  • Serve as the first point of contact for clients and vendors ensuring a positive experience
  • Communicate promptly and clearly with clients and teammates


Professional Background and Personal Traits Requirements:
  • Demonstrated experience in operations/logistics/scheduling coordination fastpaced administrative support or a similar role with an emphasis in problemsolving and customer service.
  • Excellent computer skills proficiency in Windows (Outlook Word and Excel).
  • Ability to work in a fastpaced environment with urgent deadlines.
  • Professional and positive phone manner with clients.
  • Attention to detail while managing multiple tasks.
  • Friendly and cooperative attitude is of utmost importance.
  • Candidate should be a good communicator; able to be easily understand and be understood by persons from all linguistic backgrounds.
  • College degree or equivalent work experience preferred.
  • Preferably 5 years of work experience with a minimum of 2 years to be considered.
