Job Description

The Administrative Assistant for General Services provides highlevel administrative and operational support to the General Services department. This position ensures the smooth of daily administrative functions facilitates effective communication and supports the departments operational efficiency. The ideal candidate will possess strong organizational skills attention to detail and the ability to manage multiple tasks in a fastpaced environment.


Key Responsibilities

  • Serve as the primary point of contact for the General Services department handling inquiries correspondence and scheduling.
  • Maintain and update records files and databases related to general services including facilities management procurement and vendor contracts.
  • Assist in budget tracking and expense reporting for department operations.
  • Coordinate meetings prepare agendas and take minutes as needed.
  • Process purchase orders invoices and other financial transactions in compliance with university policies.
  • Support inventory management and supply ordering to ensure departmental needs are met.
  • Prepare reports presentations and correspondence as required.
  • Liaise with internal departments and external vendors to facilitate department functions.
  • Assist in coordinating events workshops and training sessions related to general services.
  • Perform other administrative duties as assigned to support departmental objectives.

Education

  • Associates degree in Business Administration Office Management or a related field (Bachelors degree preferred).
  • Minimum of 3 years of administrative support experience preferably in a higher education or facilities management environment.
  • Must be able to lift 10 pounds.
