Job Description

Overview

At Houston Methodist the Director Leasing and Marketing position is responsible for managing a performancebased lease administration system of the HM MOB portfolio including over multiple medical office buildings and parking garages. This position oversees a management reporting process that accurately captures all relevant property and financial data and ensures that all lease obligations and opportunities are addressed. The Director Leasing and Marketing position negotiates leases licenses subleases and other real estate related contracts while interfacing with physician tenants legal resources and appropriate hospital senior leadership. Responsible for this position include all leasing and marketing strategies in relation to the Medical Office Buildings owned by Houston Methodist and prepares and administers multiple timeshare agreements and subleases between various tenants. The Director Leasing and Marketing position assists MOB leadership and hospital executives with HM owned and nonowned real estate.

The Director position responsibilities include overseeing the activities of the department staff ensuring quality productivity functional excellence and efficiency to accomplish strategic and operational objectives. In addition this position is accountable for employee engagement adequate staffing levels budget development and compliance staffing decisions such as hiring and terminating employment coaching and counseling employees on work related performance and developing and implementing policies and procedures to ensure a safe and effective work environment. This position also ensures training monitoring and operations initiatives are implemented which secure compliance with ethical and legal business practices and accreditation/regulatory/government regulations.

Responsibilities

PEOPLE ESSENTIAL FUNCTIONS
  • Directs develops and implements strategic and operational/high level projects and processes either through independent/highly autonomous work or through the facilitation of work teams to enable the effective and efficient completion of objectives.
  • Oversees management of and ensures development for staff to meet overall objectives in terms of quality service and cost effectiveness. Provides timely guidance and feedback to help others strengthen specific knowledge/skill areas needed to accomplish a task or solve a problem. Directs management responsibilities of selection scheduling supervision retention and evaluation of employees.
  • Meets or exceeds threshold goal for department turnover and/or system metrics on employee engagement indicators.
  • Provides leadership and communication to maintain a competent and engaged employee group by conducting regular department meetings to review policies and procedures and operational matters rounding on all employees completing performance appraisals conducting new hire feedback sessions coaching/corrective counseling and providing recognition/commendations to achieve desired outcomes.
  • Identifies opportunities and takes action to build strategic relationships between ones area and other areas teams departments and units to achieve business goals. Drives the promotion of teamwork within and between departments; participates and/or leads and facilitates department process improvements as needed.
  • Responds timely to requests from building tenants regarding leases building operations tenant improvement construction and parking issues to insure appropriate and positive relations are maintained between tenants at Houston Methodist entities and Houston Medical Office Buildings.
  • Maintains positive relationships with hospital executives to ensure that appropriate physicians receive priority consideration for available space.

SERVICE ESSENTIAL FUNCTIONS
  • Oversees department operations designated projects schedules and activities as needed to ensure that goals or objectives are accomplished within the prescribed time frame. Sets priorities and functional standards giving direction to staff as necessary to ensure the best possible delivery of service and high customer/patient satisfaction.
  • Drives department service standards and activities to impact department and/or system score for patient/customerbased satisfaction through role modeling and fostering accountability. Serves and actively participates on various entity committees as a voice for the department.
  • Manages the initial phase of the tenant improvement projects including preliminary and final pricing with physician tenants. Responds to requests from tenants during tenant improvement construction to ensure that projects are completed timely.
  • Prepares reviews and administers all lease documents for new and renewal tenants and timeshare and sublease agreements. Meet with tenants and explain business terms of lease agreements. Provides advance notification to tenants of lease expiration. Maintains market surveys of rental rates and other lease related costs in appropriate submarkets.

QUALITY/SAFETY ESSENTIAL FUNCTIONS
  • Ensures a safe and effective working environment; monitors and/or revises the department safety plan and/or any specific accreditation/regulatory required safety guidelines. Responsible for staff maintenance of credentials and competencies per accrediting/ licensing agency and/or department guidelines as applicable.
  • Employs a proactive approach in the optimization of safe outcomes and information systems by monitoring and improving the department workflow and enhancing operations using peertopeer accountability and identifying solutions via collaboration. Implements process improvements utilizing tools such as lean principles. Role models situational awareness using teachable moments to improve safety.
  • Responsible for employee compliance to policies and procedures and performs associated actions upon noncompliance (i.e. licensure/certification compliance focal point review requirements disaster plan inservices influenza immunization wage and hour standard hours timely termination submission timely timecard approval etc..
  • Administers lease documents as written and ensure all leases comply with The Stark Law and Houston Methodist policies and procedures. Work closely and assist the HM Chief Legal Officer and Legal staff with review of leases and related documents.
  • Maintains necessary information of special clauses in certain leases current and accurate waiting list for outside tenants desiring space and all current tenants requesting expansion space and assists appropriate hospital executives in determining the selection of tenants for vacant space.
  • Performs lease administration including monitoring lease provisions and managing the landlordtenant relationship. Responsible for managing coordinating and consulting with assigned Houston Methodist legal on all regional lease activities and the lease document review process. Negotiates with tenants or tenants legal representation (with HM legal assistance) the business and legal terms and implement revisions to lease agreement.

FINANCE ESSENTIAL FUNCTIONS
  • Develops and manages department operational and capital budgets approvals and ongoing maintenance of the department(s) ensuring operation in a costeffective manner. Proactively identifies and plans for capital needs related to current equipment and future department projects. Ensures staffing plans and schedules meet department needs that reflect understanding of the importance of costeffectiveness.
  • Creates department strategies to achieve financial target and staffing needs through optimizing productivity supply/resource efficiency minimizing incidental overtime and overtime percentage and other areas according to department specifications.
  • Prepares appropriate documentation with HM legal assistance to collect rents and other amounts including demand default and eviction letters.
  • Assists in the collection of any tenant improvement costs owned by physician tenants. Partners with Accounts Receivables confirming that rents and other amounts are paid and collected timely.

GROWTH/INNOVATION ESSENTIAL FUNCTIONS
  • Identifies and implements innovative solutions for practice or workflow changes to improve department entity or system operations by leading unit projects and/or other department/ systemdirected activities. Proactively leads task forces and committees. May represent HM at assigned community or professional organization meetings.
  • Drives change initiatives maintaining effectiveness when experiencing major changes in work responsibilities or environment; adjusts effectively to work within new work structures processes requirements or cultures. Partners effectively with stakeholders as appropriate.
  • Ensures own career discussions occur with appropriate management. Completes and updates the My Development plan on an ongoing basis. Conducts conversations with staff on their development and My Development plan.
  • Proactively develops and maintains lists of potential tenants for future leasing opportunities. Monitors physician lease renewal process.

Qualifications

EDUCATION
  • Bachelors degree with a concentration in Business Finance Real Estate or four additional years of experience in lieu of degree
  • Masters degree preferred

WORK EXPERIENCE
  • Ten years experience in healthcare real estate administration commercial lease management marketing and negotiating physician leasing agreements with five years of people management experience; for HM employees nine years of experience in relevant field with at least two years in a people management role
