The Early Childhood Special Education (ECSE) Intake Specialist manages the procedures for intake of students ages 35 with suspected or identified disabilities for the York School Department. Job responsibilities will include program operations scheduling and administrative functions such as emails phones enrollment compliance processing while providing comprehensive support for the PreK Special Education Team. This role combines clerical expertise with data analysis and program support.Key Responsibilities:Communication: Phone and email correspondence to provide information to staff families and agencies Coordinate with various departments community resources and stakeholders Maintain mailings of meeting notices (AWN) and written noticesTeam Collaboration: Support Multitiered Support System internally and externally under the direction of the ECSE Special Educator Coordinate and support parent interview component for 5 Domain Evaluation Coordinate parent transition supports in collaboration with the School Counselor to include but not limited to: school tours adaptation of arrival and departureStudent and Family Intake: Serve as the primary contact for receipt of referrals from parents teachers private preschools and physiciansScheduling: Manage calendars schedule meetings Monitor timelines and evaluation assignments for providers (internal and contracted providers) Organization: Upload and maintain digital records Support paper copy file maintenance in collaboration with Central Office contact databases inventory and suppliesEvent Coordination: Plan and coordinate community outreach and informational events and attend as needed Provide Assistance with annual screening process administration and organization of screening dataReport Preparation: Prepare childcount reports COS spreadsheets caseload reports and other documents Analyze data as neededRequired Skills: Bachelors degree in related field 3 years of experience in educational administration or administrative assistance Proficiency in data analysis and reporting tools Strong organizational and scheduling skills Excellence in written and verbal communication Experience in student information systems: PowerSchool Acuity Ability to manage multiple priorities effectively
