Excellent judgment organizational skills and customer service skills required.
High School diploma or equivalent required: Associates Degree in Secretarial Science/Business or a Secretarial Training Certificate Program preferred.
The Patient Services Coordinator I functions as the primary interface between the patient and the providers. Emphasis is placed on efficient arrival and dismissal of patients and courteous customer service to both internal and external customers.
Acknowledges and greets patients visitors and guests in a professional courteous manner.
Utilizes the two patient identifiers selected by the Practice to confirm that the patient matches the service or appointment.
Verifies that all demographic and insurance information is correct. This includes: name address telephone numbers date of birth PCP and insurance carrier.
Documents the patients Arrival status on the daily schedule.
Collects the copayment (if indicated) and processes it
Schedules reschedules and cancels patient office appointments both internal and external to the practice. Reviews key registration elements with patients during time of scheduling. Coordinates Ancillary Services for patient (Interpreter transport etc. if indicated.
Answers telephone triages calls takes accurate and detailed messages using professional and courteous customer service techniques. Maintains confidentiality and privacy according to HIPAA guidelines.
Sends out confirmation/reminder letters in advance of appointments and makes reminder calls to patients 48 hours ahead of their scheduled appointments in accordance with the assigned practice policy.
Obtains all patient information required by the providers prior to an appointment. Ensures that the medical records are available to all health care providers.
Knowledge of basic computer skills necessary
Knowledge of Medical Terminology
Knowledge of HIPAA Confidentiality and Privacy Policies
Knowledge of Joint Commission Standards and Protocols to include but not limited to: demonstrated understanding of Disaster protocols: fire safety and code calls per the mandatory training as defined by MGH
Demonstrated understanding of managed care and other insurancerelated coverage plans. Knowledge of insurance plans currently accepted by providers
Demonstrated ability to be attentive to detail and organized in the performance of daily work.
Effective interpersonal and communication skills with demonstrated telephone etiquette and telephony skills
Ability to interact in a courteous and professional manner with a diverse group of patients staff and visitors
Demonstrated ability to solve basic patient and practice problems
