We are seeking an experienced executive assistant to support ourCEO Managing Director of Europe Practice Group and manage the day to dayfunction of our London office. Applicants must be proactive organizeddetailoriented individuals who can multitaskwith efficiency and diplomacy. Excellent communication and people skills arerequired.
The ideal candidate will have a minimum of 35 years of experiencesupporting a toplevel executive within a fastpaced professional servicesenvironment. Qualified applicants will also have the following: strong sense ofprofessionalism discretion with sensitive personal and professionalinformation; excellent time management skills; the ability to handle multipleresponsibilities and priorities simultaneously; strong attention to detail;exceptional interpersonal skills. Past experience with Concur or other traveland expense modules is helpful but not required.
Responsibilities include but are not limitedto the following:
ExecutiveAssistant Role Key Responsibilities:
- Manageall scheduling and calendaring for the Executive and MDs office which includesinternal and external stakeholders and contacts.
- Serveas gatekeeper to ensure best use of executives time
- Assistin managing and prioritizing daily workflow around emerging issues includingpreparing materials and written correspondence timely on behalf of the executives.
- Screenand route telephone calls written correspondence with both internal staffmanagement and external constituents.
- Planand coordinate travel travel itineraries including international travellogistics and meeting/event coordination support.
- Preparesubmit and track expense reports maintain records and coordinate approvals ofreports with accounting.
- Prepareclear and wellwritten communications for a wide range of audiences includingclients government officials and other high level external contacts.
- Developprofessional relationships with key internal and external contacts.
- Leverage resources to accomplishobjectives effectively and take initiative to improve office environment anrations as needed.
- Act as liaison between all levels ofthe firm management operations business development and research tofacilitate completion of various tasks related to the office of the executive.
- Occasional work on special projects andevents such as business and personal breakfasts luncheons and dinners holidayarrangements client trips corporate events.

Office ManagerRole Key Responsibilities:
- The first pointof contact for all visitors and callers to Eurasia Groups London officegreeting guests escorting to conference rooms and connecting them with membersof the EG staff.
- Plan coordinateand execute social events for the London office which include but are notlimited the monthly birthday celebrations office happy hours and other HRrelated events throughout the year.
- Finance liaisonwhich includes managing the London Office budget coordinating vendor invoicesand obtaining receipts. Additionally the Office Manager is responsible foracquiring petty cash requests distributing funds obtaining receipts andchange and compiling monthly reports on the Petty Cash balance.
- Collaboratewith a team of administrative professionals across all three offices providingsupport where needed.
- Assist withspecial projects as needed and exercise judgment and discretion in completingassignments. Must have the ability tohandle details of a highly confidential nature and be comfortable with closeinteraction with highlevel contacts both internal and external.
- Act as liaisonbetween all levels of the firm management operations business developmentand research to facilitate completion of various tasks.
- Assist withplanning and of London office events and liaise with other officesregarding all EG events.
- Generaloffice management including: the primary contact for facilities management;maintaining strong professional relationships with vendors for the Londonoffice; procuring office and kitchen and food supplies; managing office assetand equipment inventory; coordinating mail distribution FedEx and messengerservices. Producing and maintaining a manual of London office proceduresincluding but not limited to the implementation of an evacuation plan forEurasia Groups London office. Improving and enhancing office aesthetics.Managing budgets for London office supplies office transportation andaccommodation; acting as primary contact to external vendors leadingnegotiations with vendors and implementing cost saving strategies whereappropriate.
- Supportin creating protocols/procedures for operations flow including budget foroffice supplies and supply requests etc.
- Workclosely with the operations teams to develop and improve office protocols
