GENERAL SUMMARY/ OVERVIEW STATEMENT:

Receiving general direction from the Chief Sports Medicine and the Executive Director of Orthopaedics the Administrative Director for Sports Medicine will be responsible for the oversight of the daytoday operations and the supervision of the administrative and clinical support staff of the Sports Medicine Center. The Administrative Director is also responsible for the oversight of the daytoday operations of the collaborative Orthopaedic practice located at the Brigham and Womens/Mass General Health Care Center. The Administrative Director will have direct supervision of the staff to include all human resource and operational topics. Drawing upon a broad understanding of hospital practices and policies and displaying a high degree of initiative and independent judgment the incumbent will collaborate closely with physician and physical therapy leadership and will continually assess and direct a wide range of programmatic issues including financial and personnel management and project development. The Administrative Director will have the responsibility of monitoring the billing charge capture and collection activities of the Orthopaedic Billing Office and the General Hospital to ensure accurate coding timely processing and appropriate followup and appeals as they relate to the Sports Medicine Service and Sports Physical Therapy

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Provide direct supervision to the support staff in both the Sports Medicine physician practices and Sports Physical Therapy and the physician practices at Foxborough. Hire oversee orientation and training provide corrective action as necessary evaluate performance approve time off requests interpret hospital policies and ensures adequate coverage for areas of responsibility. Develop competency standards and assesses staff competencies Assign and prioritize workloads; evaluate and standardize office procedures and effectively troubleshoot and resolve issues as they arise. Inform staff of inter and intra departmental policy and procedure changes.

  • Manage staff schedules. Evaluate daily staffing needs and coordinate replacement of staff to meet volume and provider productivity requirements within each area or unit.

  • Evaluate no show cancellation wait times CGCAHPS and other patient frontend quality of service indicators.

  • Develop implement and/or coordinate support staff education for both the personal and professional development of staff. This would also include organizing mandatory training as outlined by the hospital JCAHO DPH HIPAA or other governing guidelines. Develop and provide training for staff on the administrative policies and procedures of the departments of orthopaedics and physical therapy and the hospital.

  • Collaborate with PSCs I II and III to provide support and assist in the resolution of patient/customer service issues.

  • Ensure that the physical environment is maintained and attends and participates in surveillance rounds.. Establish and enforce fire and safety regulations for the units following established protocols and ensure compliance with JCAHO OSHA and MGH guidelines

  • Provide Administrative Support to the Sports Medicine Fellowship Program Director in managing the program and supporting fundraising efforts to fund the Sports Medicine Fellowship Program.

  • Provide Administrative Support to the Sports Medicine Service Philanthropy Program working closely with the MGH Development Office

  • Act as the Sports Medicine Services representative in the development of new facilities working closely with the MGH Planning and Facilities group.

  • Participate in departmental preparation for JCAHO and other regulatory site visits as outlined in the Standards of Practice.

  • Ensure that HIPAA policies and procedures are fully implemented.

  • Develop and lead special projects to support Practice goals and to meet hospital revenue compliance and patient satisfaction related topics.

  • Build and maintain ongoing working relationships with staff clinical and physician members of the Practice to facilitate positive staff morale and support provider productivity.

  • Identify monitor and resolve IS issues that impact the departments operation. Participate in the evaluation of IS equipment and systems as it impacts operations.

Act as a liaison to other Hospital units or departments regarding security safety project management finance information resources research environment of care etc.

Ensure all clinical equipment is current with inspection from Biomedical Engineering

Attend and participate in Hospital and Departmental committee meetings as appropriate.

Participate in web page development and marketing initiatives as needed. Under the direction of the chief of sports Medicine develop and maintain a robust social media presence for MGH Sports Medicine.

Under the direction the Chief of the Sports Medicine Service will coordinate the fellowship program including the interview process scheduling rotations and evaluations.

Will assist in the facilitation and monitoring a fellows progress on projects research and publications.

Conduct other projects at the direction of Chief of Sports Medicine and the Executive Director Orthopaedics

FISCAL RESPONSIBILITY:

  • Monitors patient billing and charge capture activity to ensure compliance with revenue procedures. Supervises the Front Desk staff to monitor compliance with Front Desk Best Practice policies; collaborates with the Orthopaedic Billing Office to monitor patient billing activity throughout the Revenue Cycle for physician billing.

Efficiency of the financial aspects of the units front desk operations: reception functions; copay collections and timely submission of encounter forms. Serve as a liaison to the MGH/MGPO compliance officer for billing related issues.

  • Collaborating closely with MGH and the Orthopaedic/MGPO billing offices to ensure efficient billing practices at the delivery site. Responsible for the monitoring of the submission and quality of billing data for office visits and surgeries and physical therapy visits.

  • Collaborating closely with MGH and the Orthopaedic/MGPO billing offices in the collection of claims and appeals processes.

Oversees the management of the services payroll within Kronos including the resolution of payroll issues.

Prepares on a monthly basis a report for the Sports Medicine Service that includes statistics cash collections and billing performance indicators for the Sports Medicine Service.

Monitors monthly operating budget performance for sports physical therapy; identifies and resolves variances. Performs detailed analysis and reconciles discrepancies as needed.

Develops and maintains information systems to support operations and decision making of the Directors and contracted management company.

Prepares on a monthly basis a summary of activity in all Sports Medicine Research grants and sundry funds.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:

Demonstrated strong interpersonal and communication skills and a high degree of initiative and independent judgment.

Demonstrated ability to be flexible highly organized and thoughtful in a fast paced complex teaching hospital environment.

Demonstrated effective analytical and creative problem solver which will support sound decisionmaking.

Demonstrated good computer skills familiarity with spreadsheet word processing databases and office management software.

Demonstrated strong organizational skills

Must be able to work independently handle multiple priorities and simultaneous time deadlines.

A cando team oriented attitude is essential as is the ability to interact easily with physicians other managers and support staff.

Ability to attend meetings outside of 9 am 5 pm is required.

Able to handle sensitive and confidential issues.

WORKING CONDITIONS:

Ambulatory care / office setting.

SUPERVISORY RESPONSIBILITY:

Supervises 25 or more practice support staff.

Masters Degree required
Minimum of 58 years of hospital and /or large group practice management and leadership experience for operational and financial functions
Proven management ability to work successfully within a matrixed structure.
