Community and Facility Relations Coordinator
At NSSRA we believe that everyone deserves the chance to play. Formed in 1970 with that goal in mind we were the first Special Recreation Association in the country offering programs and services for children teens and adults with disabilities. We are similar to a park district; however we only serve residents in our partner communities with special needs.
Fifty years later we serve approximately 1800 individuals throughout the year in the northern suburbs of Chicago. Were all about creating an environment of belonging through play and we want you to be a part of our team!
ABOUT THE JOB
In this key role youll be the first point of contact for visitors staff and community members and youll help maintain a welcoming environment. From coordinating front office functions to supporting our finance team youll be instrumental in ensuring smooth operations and creating positive experiences for everyone who walks through our doors.
ESSENTIAL DUTIES AND RESPOSIBILITIES
Greet all visitors who enter the facility. Coordinate signin procedure for staff and guests and refer guests to appropriate staff member.
Answer phones and provide basic information or refer callers to the appropriate staff member.
Provide office support to all staff members by assisting with or creating letters databases document collation mail merges and other functions as requested.
Provide support to Finance staff with general finance assistance such as check/invoice handling finance communications and other assistance as requested.
Manage postage system receive and sort mail prepare mail for delivery and prepare other materials for delivery when requested.
Coordinate hospitality effort for agency meetings and events.
Coordinate facility reservations/rentals and necessary documents from all facility users.
Assist with registrations for recreation programs and enter data in the registration system.
Work with telephone vendors to manage contracts budget coordinate services and train staff on phone system.
Work with copier/printer vendor(s) to manage contracts budget coordinate services and train staff on copy/printing system.
Coordinate Agency survey efforts (internal public etc. and work with Communications Manager on survey software towards efficient utilization.
Maintain office supplies in line with office supply budget.
ABOUT YOU
Graduation from high school required.
Graduation from an accredited institution with an associate degree in business or a related field preferred.
Minimum of two 2 years of experience in reception or clerical experience or a related field. Experience with human service agencies or local government agencies preferred.
Enthusiasm organizational skill and ability to work effectively with people with disabilities seasonal staff fulltime staff teachers parents and community contacts.
Must be able to work independently and with others and convey a positive attitude to coworkers.
A valid Illinois Drivers License and personal transportation to accomplish position responsibilities.
Bilingual in Spanish and English preferred.
SCHEDULING & PAY
$21.08 to $25.29 per hour dependent on qualifications.
