Job Description

Virtual Executive Assistant

Role Overview:

We are looking for a highly techsavvy and detailoriented Virtual Assistant to support our operations in the health insurance and HR services space. This role requires strong experience in automation tools (specifically Zapier) CRM platforms data entry and document management. Youll work closely with our current Administrative Assistant to streamline processes and improve efficiency across systems including AgencyBloc and Employee Navigator.

Key Responsibilities:

Automation & System Integration

  • Build manage and optimize Zaps using Zapier.
  • Integrate and automate workflows between AgencyBloc (CRM for health insurance) and Employee Navigator (HR platform).
  • Identify opportunities for automation across platforms to reduce manual work.

Forms & Document Management

  • Create templates and populate contracts/forms using client data from existing systems.
  • Manage document workflows using Adobe Sign or suggest alternative platforms for esignatures and automation.

Spreadsheet & Data Management

  • Build and format spreadsheets for plan comparisons and decision support.
  • Assist in organizing and analyzing data relevant to insurance and HR processes.

Administrative & Operational Support

  • Work alongside our existing Admin Assistant for general data entry and workflow management.
  • Support backend tasks related to HR documentation plan info and contract fulfillment.

Optional but Helpful:

  • Light email/calendar management (if needed).
  • Assist in evaluating and optimizing tools for improved business efficiency.

Key Qualifications:

  • Proven experience with Zapier and building automated workflows.
  • Familiarity with AgencyBloc and/or Employee Navigator is a major plus.
  • Strong experience with spreadsheet creation and data manipulation.
  • Techsavvy organized and selfdirected.
  • Experience working with esignature platforms like Adobe Sign.
  • Comfortable working with a remote team and handling confidential information.

Bonus Points:

  • Previous experience in the health insurance or HR tech space.
  • Understanding compliance and document workflows in regulated industries.
