Job Description

We are seeking a highly talented Office Administrator/Facilities Coordinator to be the face of the Belfast SpotX office and who can immediately contribute and support our team of engineers located in Belfast Northern Ireland. This is a part time 6 month contract role 20 hours a week with potential to become permanent. We are a fastpaced but casual environment with highly talented peers. The most successful team members are versatile disciplined and enjoy focusing on new challenges.

Making an immediate impact:

  • You will take ownership of and ensure the smooth running of the facilities. This will include but not limited to:
  • Managing all maintenance contracts/upkeep submit tickets etc. (electricity & other facilities cleaners alarms etc.
  • Health & safety fire training/wardens etc
  • General office management: ordering office supplies invoicing etc
  • Willing to engage in whatever office related tasks arise
  • Coordinate events such as Open Houses career fairs industry events Holiday Parties etc.
  • Organise marketing materials
  • Assist in the promotion of the business across social media channels.
  • Assist in completing and submitting travel and expense reports as needed
  • Submit receipts and invoices to Accounts Payable
  • Ordering breakfast/snacks for office
  • Retrieve mail and route accordingly
  • Taking initiative to ensure all things office/ facilities management related get concluded

Needed SpotXer talents:

  • Previous office administration/ facilities coordination experience
  • Strong communication skills: inperson over email and phone
  • Proven organizational skills ability to multitask plan and prioritise workload
  • Aptitude to operate effectively with professionalism in a fastpaced environment
  • Prior experience with inventory management invoicing ordering etc.
  • Competent with Google or Microsoft office applications
  • Fluency in written and spoken English with excellent communications skills
  • Demonstrates resilience and ability to work on own initiative
  • Demonstrates ownership and accountability
  • Demonstrates experience of working in a team based environment
  • Ability to build relationships with colleagues and suppliers.
