You will be updated with latest job alerts via emailThe Administrative Service Manager is responsible for coordinating and delivering managerial needs related to scheduling procurement record keeping and reservations for the University Advisement department. The service manager must be able to keep efficient records of office necessities including orders and inventory scheduling assistance travel and lodging coordination daytoday office communication functionality and of support where applicable. This administrative upkeep is required throughout the academic calendar year. It may require coordination support for weekday and weekend programming events.
The Administrative Service Manager plays an important role in supporting the Assistant Vice President of University Advisement and Innovation meeting all administrative needs to maintain productivity and efficiency of the student advisement department.
Responsibilities:
Manage the purchasing and procurement needs for the university advisement department. Ensure all purchases of commodities or services whether a single purchase or an expected repetitive cost to be accumulated over the fiscal year be initiated by a purchase requisition in advance of the total expenditure. Ensure that all purchase requisitions have written documentation and processing for the requisition to be processed into a purchase order. Ensure all related Mercy procurement policies are followed and completed in a timely fashion
Manage office scheduling for University Advisement meetings events and calendar appointments for the Assistant Vice President including the Executive Director when applicable. Ensure meeting minutes are available when required and archived for later use in departmental needs
Maintain office inventory needs relating to workroom supplies and mailing to ensure all ordering needs are met and did not impede the productivity of the professional staff. Work with the Executive Director to ensure inventory and budgeting are cohesive and planned appropriately for the academic calendar year
Maintain Customer/Student Service communication and departmental inboxes triage and respond daily to ensure students receive the necessary resource guidance appointment scheduling and advisement services where applicable
Coordinate travel and lodging records for the Assistant Vice President as well as any travel related to the University Advisement team (Executive Director and Associate Directors). This includes expense reporting itinerary development and recordkeeping for university travel disbursements and related tasks
Assist with Programmatic Event SetUp and breakdown throughout the academic calendar year to ensure that events such as Accepted Students Day New Student Orientation Cohort Affinity Programs Intervention Programs and Online workshops receive the necessary administrative support
Records and Archival Management for University Advisement strategic plan annual report and related files to ensure continuity between existing personnel and employment transitions where applicable
