Job Description

GENERAL SUMMARY/ OVERVIEW STATEMENT:

The Staff Assistant III coordinates the administrative activities of the Compliance Office. Requires discretion and judgment to organize priorities complete tasks and handle confidential information.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Provides administrative support to the Compliance Office including approximately 22 staff. Responsible for maintenance of calendar including the scheduling of complex meetings/events/site visits. Triages phone calls and forwards appropriately.

Manage routine office duties including but not limited to the following: book conference rooms type letters and memos fax photocopy order office supplies contact vendors order catering services etc.

Prepare slide presentations; create various spreadsheets charts and graphs using Excel. Maintain and update current databases in Access.

Complete accurate entry of data into local applications including MDaudit Cobius

Initiate contact with new physicians to explain compliance services and arrange for compliance orientation.

  • Coordinate and assist with compliance training activities. Explain content material for educational sessions. Schedule sessions with physicians and other providers and maintain accurate records of attendees and subject matters discussed.

Attends Compliance Office meetings and prepares PowerPoint presentations and meeting minutes.

Coordinates seminar attendance travel arrangements and reimbursement for the department.

Other duties include: organizing office systems prioritizing tasks typing/preparing memos purchasing of office equipment/furniture office supplies and the maintenance of lease agreements for office equipment and contracts for outside services.

Responsible for submitting accounts payable invoices.

Also responsible for initiating purchase order requests obtaining purchase order confirmations and the follow through of payment for vendors and consultants.

  • Special projects as assigned.


QUALIFICATIONS:
High School Diploma required. Bachelors Degree preferred.
A Minimum of 35 years of related of high level administrative experience required.
Proficiency with Microsoft Word Excel Access Power Point Schedule plus (Outlook).
Ability to interact effectively with Administrators and Physicians throughout MGH community..
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:
Proficient in Microsoft Office 2003.
Superb customer relations skills.
Excellent oral and written communication skills.
Strong organizational and analytical skills to be able to prioritize work to meet specific deadlines.
Evaluate and standardize office procedures and effectively troubleshoot and resolve issues as they arise.
High degree of flexibility required.
Ability to work independently with minimal direction.
Ability to handle matters of a highly confidential nature.
WORKING CONDITIONS:
Ability to work well with others in a demanding and changing environment.
SUPERVISORY RESPONSIBILITY:List the number of FTEs supervised.
