- High school diploma or equivalent required
- Must be fluent in Spanish
- At least two years of work experience required.
- Two years of medical staff office experience preferred. Experience working in a dental office strongly preferred.
- Excellentorganizational and telephone skills pleasant manner experience with computerrecord keeping required and typing skills helpful
- Experience with dental software schedulingand dental terminology required
- Ability to travelacross department sites required
Provides administrativesupport to the Dental department and is responsible for: scheduling patients recall system; meetsgreets assists and registers all patients and visitors to the dentaldepartment.
Clerical
- Providesadministrative support to the Dental Director Practice Manager Dentists andall other providers in the department
- Manages daytodayoperations of the dental office:
- Opens and closesthe dental office according to health center policies and procedures
- Conductspreregistration of new patients and ensures every patient has an MGH blue cardnumber prior to registration and collects/updates demographic and insuranceinformation.
- Checks in andchecks out patients: Verifies andupdates patients contact information and insurance information; verifies thatpatients complete pertinent dental forms such as: medical history consent fortreatment and acquire the necessary patients signatures for health centerwaivers and forms. Keeps track of thepatients in waiting area and keeps patients informed if providers appointmentsare running late.
- Performs thefollowing billing tasks: Checkspatients insurance eligibility makes copies of patients insurance cards andsubmits insurance card copies to the billing department. Submits treatmentplans and predetermination of benefits to insurance companies for treatmentapproval. Organizes supporting materials for preestimates such as radiographsand written narratives as directed by the dentist. Assists in the solution of problems withthird party payers. Collects payments and/or assist patients with third partybilling materials and assures patients understanding of insurance coverage.Compiles end of the day packet withpatients payment information
- Performs allfacets of telephone duties such as: answers incoming calls calls patients toconfirm appointment transfers phone calls to providers and dental staff; takesmessages for providers and coworkers and makes followup calls to patientswhen necessary.
- Manages the dailydental schedule: Checks the daily schedule for accuracy and distributes thedaily schedule to all providers. Fillsin any cancellations sends recall cards and assures prompt response to dentalemergencies. Educates patients on thehealth centers missed appointment policy.
- Aids in thecoordination of meetings and seminars for the dental department
- Coordinatesdental lab activities such as: retrieval of dental models and coordinates thepickup and lab deliveries. Keeps a logwith the outside lab information.
- Responsible forrequesting and organizing dental records. Updates and files dental forms andassures that dental records are stored securely and handled in compliance withHIPAA privacy and security regulations.
- Coordinates andassists patients with inhouse and outside referrals.
- Orders andorganizes office supplies
- Collects anddistributes departmental mail
- Orients newemployees and students providing information about the health center and thedental department
- Maintains overallappearance of reception area;
- Providesinterpreting services for the department as needed
- Other duties asassigned by supervisor(s)
