Job Description

Overview:

The Mayors Office for Black Male Advancement (BMA) strives to improve outcomes and reduce systemic barriers to advancement for Black men and boys living in Boston. Under the direction of the Executive Director the Chief of Staff is responsible for supervising the operational and programmatic staff; supporting the recruitment hiring onboarding and transition of staff; ensuring that all BMA initiatives stay on schedule and meet their goals.

Responsibilities:

  • Coordinates manages and monitors the projects of the BMA staff members to ensure timely completion.
  • Manages the offices day to day operations including but not limited to office coverage approves staff time off requests in ESS; organizes the appropriate tools (e.g. office space desktops laptops etc. for staff to perform their work.
  • Supports the Executive Director in the annual budget process and compliance with BMAs allotted budget for the year.
  • Assists in recruitment and placement of required staff; recruitment and placement of fellows and interns; establishment of organizational structure; delegation of tasks and accountabilities.
  • Supervises programmatic and operational staff.
  • Conducts and completes annual performance evaluations in a timely fashion in partnership with the Executive Director.
  • Oversees the development and completions of all Department reports.
  • Serves as the delegate for Executive Director in any critical meetings bodies events and as BMAs liaison to the Mayors Office other Cabinets and Department Heads where assigned.
  • Assists the Executive Director in the development of the departments strategic plans including defining the departments focus areas and core values. Implements and manages plans.
  • Develops strong relationships with relevant staff in city of Boston departments to ensure staff receive the support needed to perform their responsibilities.
  • Expand the capacity and scope of BMAs work by identifying and collaborating with city departments on various initiatives and programs.
  • Develops and maintains collaborations with city departments on initiatives that impact Black males and constituent referrals.
  • Meets regularly with the Executive Director to brief discuss plan and assess projects.
  • Supports staff in overcoming any internal city of Boston hurdles (e.g. lack of response from departments etc. in performing their responsibilities.
  • Leads weekly staff meetings. Serves as a delegate for the Executive Director in meetings bodies and events as requested.
  • Assists the Executive Director with organizing professional development training for staff and ensures each staff member is following their growth plan.
  • Steps in for the Executive Director to manage the department whenever they are away.
  • Attends community engagement events and resource fairs as needed.
  • Participates in regular office responsibilities including constituent services and phone coverage.

Minimum Entrance Qualifications:

  • Commitment to BMAs mission.
  • At least four 4 years of fulltime or equivalent parttime professional experience in business or public administration in work that included project management preferably involving Black male communities; two 2 years of which must have been in a supervisory capacity.
  • Bachelors degree in relevant field of study preferred and may be substituted for two 2 years of required experience.
  • Experience in working with different stakeholders around a common goal or initiative is preferred.
  • Knowledge of Bostons Black Male communities.
  • Excellent written and verbal communications skills.
  • Strong interpersonal skills.
  • Ability to take initiative and work independently and as part of the team required.
  • Ability to organize and inspire cooperation and collaboration required.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Ability to work with timelines and meet deadlines.
  • Ability to set and manage priorities in a changing work environment.
  • Proficiency in Microsoft and Google Suite preferred.
  • Ability to exercise good judgment and focus on detail as required by the job.

Boston Residency Required.
