Job Summary

The Finance Administrative Assistant at Century Solutions Group is responsible for managing incoming shipments ensuring accurate inventory control of all digital and physical IT assets processing licenses and providing administrative support. This position serves as a critical link in our supply chain operations requiring attention to detail and accountability for all inventory locations including leading physical inventory counts with reconciliation to financial records.

Key Responsibilities

Receiving and Inventory Management

Receive and process incoming merchandise daily inspecting contents for damage and verifying items against packing slips and purchase orders.

Document product IDs and quantities on receiving documents and update ConnectWise procurement module accordingly.

Perform threeway match verification between invoices packing slips and purchase orders.

Notify the Purchasing agent of any discrepancies and coordinate with suppliers for returns or replacements.

Take full accountability for all inventory locations including the cage shipping staging room for unbilled orders and customer assets.

Manage the inventory cage between 1012pm daily ensuring proper organization and security.

Lead physical inventory counts and cycle counting maintaining and applying QR codes using handheld scanners.

Track all digital and physical IT assets throughout their lifecycle.

Keep work areas clean and organized at all times.

Purchasing Support

Monitor open purchase orders for delays or delivery concerns.

Communicate with the Purchasing Agent and Account Management team any supply chain concerns with deliveries.

Receive and on occasion pick and ship procured equipment into Centurys procurement system.

Oversee the return merchandise authorization (RMA) process for equipment being returned to clients and/or vendors.

Match invoices to purchase orders and verify parts quantities and totals ensuring they match prior to delivery to the Bookkeeper.

License and Warranty Management

Receive and process software licenses for various products.

Provide updates on agreement billing related to licensing.

Support the licensing team through Teams primarily assisting with Blue Beam Adobe and Microsoft Office 365.

Monitor license availability and adjust inventory records accordingly.

Receive and register warranty purchases and renewals ensuring the warranty is properly applied and active for the covered equipment.

Administrative Support

Process electronic deposit of checks via Remote Deposit Capture (RDC).

Reconcile and validate vendor commission reports.

Maintain accurate documentation and follow established procedures.

Maintain digital copies of all documentation using Centurys document management system with routine scanning of paperwork.

Reconcile vendor and line of credit financed purchases to ACH payment remittances.

Communicate effectively with vendors and internal teams.

Perform other tasks as required by management.

Qualifications and Skills

High school diploma or equivalent.

Previous experience in receiving inventory management or related field.

Strong attention to detail and accuracy in recordkeeping.

Proficiency with procurement management and scanner equipment.

Experience with physical inventory counting and reconciliation processes.

Excellent organizational communication and interpersonal skills.

Ability to lift up to 50 pounds and stand/walk for extended periods.

Ability to work independently and as part of a team.

Availability for specified hours and occasional weekends/evenings.


Preferred

Experience with QR code inventory management.

Knowledge of IT products and software licensing concepts.

Experience in a technologyfocused company.


Working Conditions

Inoffice setting with significant time in the cage and receiving area.

Work hours are 8am till 5:00pm Monday through Friday with cage management from 1012pm daily.

May require standing walking and bending for extended periods.

Occasionally required to work evenings weekends and holidays for inventory counts or special projects.
