Position Overview:
As a Senior Administrator & Project Coordinator youll make a significant impact by supporting the senior leadership. The Senior Administrator and Project Coordinator will manage administrative functions investor relations project coordination and accounting support. The opportunity includes overseeing scheduling travel logistics investor database management marketing materials and office operations. Key Responsibilities:
Investor Relations & Project Coordination:
- Maintain and update CRM systems (Juniper Square Salesforce) for investor tracking and contact information.
- Oversee investor communications including outreach event planning and reporting.
- Research potential investor candidates from industry databases and conference registrations and compile target contact lists.
- Assist with investor documentation and forms Due Diligence Questionnaires (DDQs) and investor presentations.
- Prepare and update marketing materials for investor engagement.
- Coordinate with attorneys investors and stakeholders as needed.
Development Acquisitions & Asset Management Support:
- Organize and schedule project calls property tours and contractor meetings.
- Monitor project timelines deadlines and deliverables to ensure efficiency.
- Maintain and update acquisition and developmentrelated documents.
- Identify and track permit applications permits and final certificates of completion and occupancy.
- Manage propertyrelated insurance programs and assist in oversight.
- Issue project construction updates for investment partners and lenders.
Administrative & Leadership Support:
- Manage calendars coordinate meetings and arrange travel for senior leadership.
- Prepare documents distribute mail and maintain general office organization.
- Organize and maintain digital and physical filing systems.
- Facilitate partner signatures and oversee administrative workflows.
- Provide reception support including greeting visitors and handling calls.
- Coordinate catering and logistics for office meetings and events.
- Maintain Notary certification.
Financial & Accounting Support:
- Process and code invoices maintain accounts payable spreadsheets and conduct biweekly check runs.
- Distribute monthly and quarterly financial reports.
- Handle bank reconciliations deposits and credit card expense tracking.
- Create and send invoices for reimbursable costs.
- Maintain check inventory and order checks as needed.
Qualifications & Skills:
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Excel Word PowerPoint).
- Excellent written and verbal communication skills.
- Ability to learn and manage CRM systems.
- Professional resourceful and teamoriented approach.
- Ability to handle confidential information with discretion.
- Experience in bookkeeping accounting or financial administration preferred
