Job Description

USM serves about 1400 students at its main campus in Leavenworth its satellite location in Overland Park as well as online.

POSITION SUMMARY

The Teacher Education Department at the University of Saint Mary is seeking an administrative assistant to manage the main campus office coordinate the education programs between the Leavenworth and Johnson County campuses manage the data collection system correspondence internal reports/requests and student records processing. Additionally there are some division tasks such as collection of syllabi and creating adjunct request forms. We are looking for applicants with strong communication and time management skills and who are comfortable being a member of a team.


ESSENTIAL FUNCTIONS

  • Responsible for managing administrative clerical and office activities
  • Manages the education program data collection system used for program improvement and accreditation
  • Responds to current student inquiries creation and maintenance of student files
  • Assists with data entry and preparing documents using MS Word Excel Taskstream (Watermark) and Jenzabar EX.
  • Process and prepare a variety of letters surveys and/or other correspondence
  • Manages various administrative support level projects reports and tasks
  • Provide information and updates regarding accreditation standards to the faculty staff and other stakeholders as appropriate
  • Process invoices expense reports and purchasing requests through USM systems
  • Complete annual reports
  • Monitor and ensure compliance with accreditation timetable/schedule
  • Compile student assessment data from external tests for department review
  • Oversees the process of Kansas State Department of Education (KSDE) teacher licensure for candidates including completing verification forms
  • Attends KSDE meetings regarding teacher licensure requirement updates and acts as a resource for teacher education licensure programs
  • Maintains confidentiality as necessary
  • Oversees work study and graduate assistants
  • Assist with planning and coordinating events sponsored by programs in the division
  • Help review and maintain uptodate website information
  • Performs additional duties as assigned

REQUIREMENTS

  • Two 2 years of progressively responsible experience in an administrative assistant role.
  • Bachelors degree preferred but professional experience in an academic setting may be substituted on a yearforyear basis.
  • Proven ability to communicate effectively both orally and in writing.
  • Interpersonal skills to interact effectively with students program directors and faculty staff and University administrators.
  • Computer/technology literacy including experience in SharePoint and Microsoft Office especially Word Excel and Outlook.
  • Autonomous approach to work including creative problem solving and focus on task completion.
