KEY TASKS AND RESPONSIBILITIES:
Be the project coordinator for the Funds Management team to facilitate understanding documentation and planning for the integration of FTC Budget Approval with SPA
Manage the process of digitalizing the SC budget planning tool funds management and monitoring architecture related tools and knowledge base plan
Guide the development of preliminary process maps assess accountability frameworks and analyze change management requirements related to the project implementation
Manage the development of tools guidelines and support that would facilitate and enhance accuracy of business requirements during the implementation
Provide analytical support and recommendations for all involved SC actors to be able to align their processes with the technical requirements of the tool
Liaise with business experts to ensure process compliance with WFP Logistics and funds management policies rules regulations and procedures;
Guide the development of adequate user guides reporting tools and controls to support SC Costs/Budgeting and Funds Management tool providing learning and capacity building tools;
Maintain close contacts with other Supply Chain players ensuring that Supply Chain delivery costs and funds utilization trends and management are in line with divisional strategy and operational solutions;
Support the FTC Budget Approval integration process with SPA and work directly with the OMS to deliver business requirements and Technical specifications
Work with primary stakeholders to ensure that the project modelling and timelines are comprehensive and meet SC requirements.
Guide country offices/Regional Bureaus/Corporate task force in managing
their requirements and expectations before the inception of the project
Produce Senior management biweekly status report and other reports upon request
Process regular data and compile reports for continued monitoring of project timelines and critical deadlines.
Guide the preparation of communication materials to inform SC actors of the new tools or changes in the project.
EDUCATION:
University degree in business administration finance supply chain management statistics or other related fields or first university degree with an additional relevant work experience and/or training/courses.
At least 5 years of professional experience in supply chain and/or corporate finance
TECHNICAL SKILLS & KNOWLEDGE:
Review the SC funds monitoring controls and reports needed to measure performance (actuals Vs. Planned) and cost analysis including the quarterly monitoring tool for CSP countries
Work with IRM team to ensure that the accounting model is comprehensive and meets SC requirements
Participate in SC policy development and planning to achieve cost efficiency agility and reliability.
Analyse SC processes to define constraints and bottlenecks and propose optimization solutions
Support country offices/regional bureaus/corporate task force in the onset of largescale emergency operation and at the inception of the country strategic plan
Contribute to the monitoring and evaluation of the effectiveness of the logistics funds management support strategy by suggesting and implementing agreed upon key performance indicators
Monitor KPI and report to supervisor on performance trends
Prepare communication materials to inform SC actors of the new tools or changes in the SC performance matrix.
LANGUAGES:
Fluent knowledge of English is a minimum requirement.
Business knowledge of a second UN language is considered an asset.
