Job Description

Description

We are seeking a proactive experienced and highly technical Assistant Controller to join our dynamic finance team. In this handson role you will oversee vendor payments client invoicing account reconciliation and contribute to financial reporting and analysis. You will ensure the accuracy of our financial records in QuickBooks Online and play a key role in maintaining the financial health of our organization. You will also lead process improvement initiatives and assist with strategic financial planning. Responsibilities:

Accounts Payable (AP) & Accounts Receivable (AR) Management:

  • Oversee the AP and AR processes ensuring accuracy and efficiency.
  • Manage and mentor AP/AR staff (if applicable).
  • Develop and implement AP/AR policies and procedures.
  • Review and approve complex vendor payments and client invoices.
  • Monitor key performance indicators (KPIs) related to AP/AR.
  • Manage AP/AR HubSpot tickets and inquiries resolving escalated issues.

Financial Reporting & Analysis:

  • Prepare and analyze monthly quarterly and annual financial reports.
  • Conduct variance analysis and provide insights to management.
  • Assist with budgeting forecasting and cash flow management.
  • Develop and maintain financial models and dashboards.
  • Ensure compliance with accounting standards and regulations.

Account Reconciliation & MonthEnd Close:

  • Oversee the monthend close process ensuring timely and accurate completion.
  • Review and approve account reconciliations.
  • Prepare audit documentation and assist with audits.

Company Credit Card & Expense Management:

  • Manage the company credit card program and expense reporting system.
  • Develop and enforce expense policies and procedures.
  • Analyze expense trends and identify costsaving opportunities.

Process Improvement & Efficiency:

  • Identify and implement process improvements in accounting and finance functions.
  • Lead automation initiatives and system upgrades.
  • Develop and maintain internal controls.
  • Standardize financial processes and documentation.


Requirements

  • 5 years of progressive experience in accounting including supervisory or management roles.
  • Advanced proficiency in QuickBooks Online.
  • Expertlevel Excel skills (formulas pivot tables macros data analysis).
  • Experience using HubSpot for AP/AR ticketing and reporting.
  • Strong knowledge of GAAP and financial reporting standards.
  • Excellent analytical problemsolving and decisionmaking skills.
  • Strong leadership and communication skills.
  • Ability to manage multiple priorities and meet deadlines.
